Job Summary

To manage the end-to-end administration of security access cards and credentials for employees contractors and visitors in line with company security policies access control procedures and compliance requirements. The incumbent will ensure accurate issuing updating and deactivation of access cards and maintain secure and auditable records of all access activities and authorizations.

Requirements

1. Access Card Issuing and Management
Issue activate deactivate and replace physical access cards in accordance with approved access authorizations.
Process access card applications verifying approvals ID documents contract status and clearance levels.
Maintain strict controls over blank cards issued cards temporary passes and lost/stolen reports.

2. Access Control System Administration
Capture and update user profiles in the access control system (e.g. Gallagher Babylon Impro).
Maintain current access permissions according to role-based access levels and sitespecific security zones.
Flag and escalate any access control anomalies unauthorized attempts or duplicated card activities.

3. Records and Audit Compliance

Maintain accurate records of all issued expired and revoked access cards.
File and archive access authorizations contractor registers visitor logs and cardholder agreements.
Prepare reports for audits and investigations including access history logs and exception reports.

4. Visitor and Contractor Access Coordination
Facilitate issuing of visitor and contractor access cards including temporary credentials.
Coordinate with line managers HR and facilities for onboarding and offboarding security clearance.
Ensure visitors are registered signed in and briefed on access restrictions and escort protocols.

5. Card Stock and Asset Management

Monitor inventory levels of access cards printers ribbons and other consumables.
Arrange card printing maintenance of badge printers and assist with badge design and updates.
Ensure secure storage of access card stock and supplies.

6. Service and Stakeholder Support
Serve as the first point of contact for access-related queries card reissues and status updates.
Support employees and contractors with technical or procedural issues related to access control.
Liaise with the Control Room HR IT and Facilities on integrated access requirements and escalations.

Education & Qualifications
Matric (Grade 12) required.
Post-matric certificate in Security Administration Office Administration or IT Systems is an advantage.
PSIRA Grade C registration (minimum) preferred.

Experience
23 years experience in a security administrative or access control environment.
Experience working with access control systems (e.g. Babylon Gallagher Impro Lenel) is preferred.
Familiarity with corporate security policies and facilities procedures.

Skills and Competencies

Strong attention to detail organizational skills and data accuracy.
Good verbal and written communication.
Proficiency in Microsoft Office (Excel Outlook Word) and security databases.
Trustworthy professional and able to handle confidential information discreetly.
Customer-focused with the ability to work under pressure and meet deadlines.

Security Clearance:

Must be eligible and willing to undergo a basic background check or security clearance as applicable.

Working Conditions:
Office-based role with regular interaction with staff contractors and visitors.
May be required to work in secure or access-controlled areas and support access functions at other sites when needed



Required Skills:

Access control and verification Greet and assist all visitors employees and contractors in a professional and courteous manner. Verify identification issue visitor badges/cards and maintain accurate visitor logs. Enforce access control policies including Anti-Passback rules and National Key Point compliance requirements. Monitor entry/ exit points to prevent unauthorised access. Conduct basic bag or equipment inspections where authorised. Use electronic access systems and CCTV to monitor lobby activities. Visitor & Contractor Management Contact hosts to confirm appointments before granting access. Ensure all visitors and contractors are escorted or directed to their destination. Incident Reporting Report suspicious activities security breaches or safety hazards to the Security Consultant or Control Room immediately. Maintain accurate incident and access records for audits. Customer Service & Communication Provide information and directions to authorised visitors and employees. Handle
