Job Summary

Responsible for providing analytical administrative and operational support to management by collecting managing and analysing physical security data across sites nationally. The incumbent will ensure effective information flow accurate reporting documentation and the coordination of security operations projects contracts and technology systems to strengthen overall physical security posture.

Requirements

Security Data Management and Reporting
Collect validate and analyze physical security data (e.g. incidents patrol reports system events and
contractor performance).
Develop dashboards and compile regular reports for the Executive: Corporate Security including trends
risks response time metrics and contractor compliance.
Maintain databases for incident tracking system audits and access control metrics.
Physical Security Systems Support
Administer security systems databases including access control platforms (e.g. Babylon Gallagher)
CCTV analytics intrusion systems and alarm reports.
Coordinate user access and permissions maintain asset and user logs and track system uptime and
faults.
Log and track service provider maintenance and repairs across all security technologies.

Contract Administration and Support
Maintain a central register of physical security contracts service level agreements (SLAs) performance
records and expiry schedules.
Assist with vendor performance analysis and track penalty clauses deviations or outstanding
deliverables.
Support procurement and budgeting processes through data preparation and cost tracking.
Operational Support
Coordinate national and regional site security surveys assessments and compliance inspections.
Prepare presentations briefing packs and audit files for use by the Corporate Security Executive.
Track implementation of security recommendations infrastructure upgrades and risk mitigations.
Compliance and Policy Monitoring
Monitor adherence to physical security SOPs security frameworks and security governance
frameworks.
Provide administrative support during internal audits SAPS inspections or regulator reviews.
Ensure secure filing and version control of all security policies contracts manuals and site reports.

Functional Knowledge

Incident & Threat Analysis; Experience in analysing incident data access logs and audit trails to identify
risks and trends; Exposure to Security Environment and understanding of; Incident reporting tools (e.g.
Online Intelligence) capturing and updating of investigation registers update SAPS case records and cases
at the courts; Exposure to Financials costing and spending and understanding of procurement processes;
Maintaining dashboards and compile incident/ statistics reports.

Functional Skills

Proficiency in Microsoft Excel PowerPoint SharePoint Power BI (or similar reporting tools); Attention to
detail analytical mindset and structured approach to documentation; Knowledge of physical security
technologies and control room systems (preferred); Interpersonal and communication skills for engaging
stakeholders across levels

Additional Information
Qualifications and experience:
Post-matric certificate in Security Administration Office Administration or knowledge/ certification of IT
Systems will be an advantage.
Experience in a physical security administrative or analyst role.
Demonstrated experience in compiling management reports and working with large datasets.
Experience in corporate or critical infrastructure security is an advantage.

Special Requirements:
Ability to work with large data.
Proficient in MS Excel and the rest of the MS Office suite.


Required Skills:

Access control and verification Greet and assist all visitors employees and contractors in a professional and courteous manner. Verify identification issue visitor badges/cards and maintain accurate visitor logs. Enforce access control policies including Anti-Passback rules and National Key Point compliance requirements. Monitor entry/ exit points to prevent unauthorised access. Conduct basic bag or equipment inspections where authorised. Use electronic access systems and CCTV to monitor lobby activities. Visitor & Contractor Management Contact hosts to confirm appointments before granting access. Ensure all visitors and contractors are escorted or directed to their destination. Incident Reporting Report suspicious activities security breaches or safety hazards to the Security Consultant or Control Room immediately. Maintain accurate incident and access records for audits.
