Job Description:

Under the direction of the Principal and Supervising Administrator theAdministrative Assistant willperform secretarial/clerical work to ensure the efficient operations of departments/front office. Administrative Assistant will report to the Director of Counseling

Essential Functions and Duties of the Position:

The essential functions and duties listed below are intended as an illustration of the various types of work that may be performed. The omission of specific statements of duties does not exclude them from the position if work issimilar related or a logical assignment to the position.

Assists with recording student record keeping in the student information management system

Assists with student registration and transfers

Assists with 504 recordkeeping and related tasks

Assists School Counselors with the post-secondary application process

Assists with the NCAA MCAS Koplik/Adams NPQRS processes

Performs secretarial work for Director of Counseling and supports department staff

Drafts correspondence and documents

Performs routine tasks such as filing faxing copying and data entry

Assists with the processing of standardized testing

Answers phones and responds to questions from parents students and other district

personnel

Greets visitors and responds to questions and concerns

Meets deadlines

Skills Abilities & Knowledge:

Ability to maintain confidentiality and handle difficult situations with sensitivity and tact

Experience and knowledge in a customer service environment

Knowledge of school office environments

Knowledge and experience with school office technology and equipment

Skill in written and oral communications

Ability to calmly and professionally interact with students parents teachers co-workers and visitors in a dynamic environment

Ability to organize prioritize work responsibilities and use time efficiently

Skill in tracking and recording student attendance data

Experience with school & counseling related platforms preferred: Powerschool Scoir Google

MinimumEducation & Experience:

This position requires a High School Diploma or GED and one year of secretarial experience. Experience in a school office environment is preferred.

Physical Requirements:

Must be physically able to operate a variety of automated office machines and equipment

including a computer basic office equipment adding machines telephone etc. Must be able to exert up to five pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift carry push pull or otherwise move objects. Sedentary work involves sitting most of the time but may involve walking or standing for brief periods of time. Must be able to

lift/carry weights.
