Job Summary

Role: Marketing Support Coordinator (TOD)

Priority Location: Latin America

Working Hours: Monday-Friday 9am-5pm (Central Time)

Salary Range: $1500-$2500/month

Type of job: Remote

About the Role: The Marketing Support Coordinator (MSC) is a strategic and operational role supporting the team. This position serves as a bridge between Business Development Marketing and Administrative functions: ensuring brand consistency operational efficiency and timely execution of marketing initiatives across multiple locations and the sister company.

The MSC manages digital marketing campaigns credentialing workflows onboarding processes and event coordination. Working closely with the Executive Assistant to the Owner the MSC provides critical support that enables leadership to execute long-term growth strategies.

Key Responsibilities:

Marketing & Communications

  • Develop and execute marketing strategies to increase brand visibility and drive business growth.
  • Coordinate and implement digital marketing campaigns including social media email marketing and website updates.
  • Create compelling content for blog posts newsletters internal communications and social media platforms.
  • Maintain consistent brand tone and voice across all materials and channels.
  • Support the creation of branded materials in Canva following the companys national brand standards.
  • Assist in scripting design and delivery of internal communications (e.g. MidWeek Matters slides).

Systems Data & Automation

  • Build and maintain marketing automations using Power Automate Mailchimp or Salesforce workflows to ensure campaigns and reports run on schedule.
  • Maintain accurate and current data across Salesforce Convex and internal spreadsheets for lead tracking credentialing and reporting.
  • Monitor campaign metrics lead attribution and engagement trends; prepare summaries and recommendations for improvement.

Credentialing & Compliance

  • Manage vendor credentialing for the company including platforms such as NetVendor Avetta and JLL.
  • Track documentation expirations and coordinate renewals to maintain 100% active compliance.
  • Collaborate with vendors and internal teams to ensure timely submission of insurance certificates licenses and other compliance materials.

Event & Campaign Coordination

  • Plan and execute events including logistics registration vendor coordination and follow-up cadences.
  • Collaborate with sponsorship partners (e.g. Learfield/Vol Network Vanderbilt Athletics) to support the companys sports marketing initiatives across football basketball and baseball.
  • Coordinate COI (Center of Influence) outreach campaigns such as Just Because postcard mailings and National Preparedness Month activities.
  • Track attendance engagement and follow-up performance from all marketing and networking events.

Reporting & Analysis

  • Prepare weekly and monthly reports summarizing marketing performance credentialing progress and campaign results.
  • Assist leadership in developing dashboards to monitor outreach performance credentialing metrics and lead conversions.
  • Analyze trends and recommend improvements to increase campaign ROI and workflow efficiency.

Required Experience

  • 2 years of experience in marketing coordination digital marketing or related roles.
  • Experience supporting Business Development or Sales teams in administrative or strategic capacities.
  • Experience with Salesforce or similar CRM platforms for workflow management and lead tracking.
  • Proven success in content creation and campaign execution across digital channels.
  • Experience with event planning and coordination including logistics and post-event engagement.
  • Familiarity with franchise multi-location or service-based organizations is strongly preferred.

Required Skills

  • Strong written and verbal communication skills; able to draft polished professional correspondence and marketing copy.
  • Proficient in Microsoft 365 (Excel Word PowerPoint Teams SharePoint) and familiar with Power Automate.
  • Proficiency with social media platforms email marketing tools and basic website CMS platforms.
  • Detail-oriented with exceptional organization and time management abilities.
  • Comfortable managing multiple projects with minimal supervision in a fast-paced environment.
  • Skilled at maintaining document version control and organized digital file structures.
  • Basic graphic design or content editing skills (e.g. Canva ChatGPT DALLE) preferred.

Performance Expectations

  • Reports directly to the Executive Assistant to the Owner.
  • Participates in weekly project check-ins to review credentialing progress campaign calendars and content updates.
  • Maintains prompt communication during U.S. business hours and provides end-of-week summaries of completed tasks and next steps.
  • Adheres to confidentiality and data security standards for all companys materials.
  • Demonstrates reliability initiative and accountability: following through on commitments and proactively identifying solutions.

Examples of Projects

  • Coordinate weekly companys Vols game-day emails and creative approvals.
  • Prepare and distribute branded marketing assets for sponsorship campaigns.
  • Maintain credentialing trackers and ensure on-time submission of required documentation.
  • Build and update the companys Construction capability statements and other marketing collateral.
  • Support the rollout of internal recognition campaigns and team communications.
  • Assist with check-in and follow-through on assigned marketing and credentialing tasks.

Success Metrics

  • 100% compliance in active vendor credentialing.
  • Marketing deliverables completed by or before established deadlines.
  • Reporting accuracy of 95% across credentialing and marketing trackers.
  • Demonstrated improvement in campaign engagement and lead attribution accuracy.
  • Consistent alignment of all communications and assets with the companys brand standards.
