Department Overview
The Administrative Coordinator performs and coordinates a wide variety of advanced technical or administrative related tasks to ensure a smooth flow of services and operations. Employees in this class perform and coordinate a complex or highly technical program in support of OHSU School of Nursing Street Nursing Team This is a grant funded position. Current grant funding expires June 30 2026. One of the major responsibilities of this position is collaborating with the Program Director on post grant sustainability strategies.
Function/Duties of Position
Coordination:
- Coordination: collaborates with team members to plan prepare and present training for street team staff partners students clients or the public to provide information about OHSU street nursing team services policies and processes; coordinates the editing proofing printing and distribution of grant applications newsletters brochures and manuals; coordinates and implements entire administrative processes that support the street nursing team; analyzes data and uses judgment in making independent decisions regarding the coordination of the program; performs assigned lead work duties.
Administrative Assignments.
- Administrative Assignments. Cross trained to receive and review documents and applications submitted in request of benefits and/or services (grants credits reimbursements claims for payments from specialized funds); collaborates with evaluation and co-coordinator to collect data and prepare reports outlining the impacts or changes in procedures on OHSU programs and funding; assists with compiling statistical information related to program or operation measuring success rate and/or performance to be used in grant proposals and to make decisions related to the program; assists in annual budgeting process; coordinates the development of detailed reports on a monthly quarterly semiannual or annual basis; collaborates with program staff to maintain and track financial activities; including billing inventory records of supplies equipment and materials and assists with ordering supplies to support the field operations team as needed.
Program Sustainability:
- Program Sustainability searches and identifies strategies for sustaining operations of the Street Nursing Team; explores job share opportunities with clinical partners for seamless service delivery; participates on the transition team to ensure seamless educational and service delivery post grant funding or new grant funding. Collaborates with Evaluation team to compile data that demonstrates street team impact for potential funding opportunities.
Required Qualifications
Four years of general office or secretarial experience;OR
An Associates degree or certificate in office occupations or office technology and two years of general office or secretarial experience;OR
A Bachelors degree and two years of general office or secretarial experience;OR
An equivalent combination of training and experience.
Note: Successful completion of a formal OHSU Administrative Internship Program will substitute for one year of experience. Contact Compensation for confirmation of eligibility.
- Good communication skills including written verbal and electronic.
Additional Details
Working environment is in shared office. May need to move supplies and boxes.
