Job Summary

Primary Purpose:

Assist the Federal Programs Director in maintaining and managing budgets placing and processing purchase orders and maintaining compliance documentation for each of the federal programs.

Qualifications:

Education/Certification:

High school diploma or GED

Special Knowledge/Skills:

Effective organizational file maintenance communication and interpersonal skills

Ability to use personal computer and software to develop spreadsheets databases and word processing

Knowledge of basic accounting principles

Minimum Experience:

One to three years of secretarial experience preferably in public education environment

One to three years accounting or bookkeeping experience

Major Responsibilities and Duties:

Records Reports and Correspondence

1. Place and receive telephone calls and emails regarding assigned federal programs.

  1. Perform varied word processing skills in the preparation of correspondence forms reports applications etc.
  2. Prepare and process purchase orders for each program.
  3. Keep accurate and up-to-date balances for each program and budget.
  4. Maintain complete and systemic records of programs financial transactions providing accurate and up to date balances for each program and budget.
  5. Maintain a filing system for each assigned program.
  6. Serve as a liaison between the LEA and private non-profit schools.
  7. Assist curriculum specialists with Title I II and III professional development activities as needed.
  8. Ensures confidentiality when required.

Personal computer printer copier multi-line phone and fax machine and calculator.

Tools/Equipment Used: Standard office equipment including personal computer and peripherals

Posture: Prolonged sitting; occasional bending/stooping pushing/pulling and twisting

Motion: Repetitive hand motions including frequent keyboarding and use of mouse; occasional reaching

Lifting: Occasional light lifting and carrying (less than 15 pounds)

Environment: May work prolonged or irregular hours; occasional districtwide travel

Mental Demands: Work with frequent interruptions; maintain emotional control under stress

Occasional districtwide and statewide travel; frequent prolonged and irregular hours.
