Our Prorate and Fuel Tax Services (PRFT) unit within the Business and Professions Division (BPD) currently has an opportunity for two (2) organized and customer focused Office Assistants to join our diverse team.
Washingtons infrastructure requires considerable investment to ensure residents and visitors have safety comfort and simplicity as they move around the state. PRFT administers the states fuel tax collection programs as well as the International Registration Plan (IRP) and International Fuel Tax Agreement (IFTA) collecting almost $2 billion in annual revenue for the states transportation programs to ensure investment continues in state roadways.

Duties
As an Office Assistant having excellent interpersonal communication skills will be key as you will be working closely with a diverse team. This on-site role is in office full time but may allow for some remote work. While understanding the importance of the details you will ensure important deadlines are met while being provided the flexibility to perform complex clerical tasks in ways that work best for you. Serving our internal and external customers will be key in this role as you collaborate with your small and supportive team. You will help us fulfill the agencys purpose by initiating documentation for concerns and reviews accurately and efficiently. To be successful in this role you should have exceptional organizational skills be comfortable with interpersonal communications for all levels of our organization provide first-rate customer service and effectively work under tight deadlines with flexibility and agility.
Some of what you will be doing:
- Receive distribute and direct incoming mail to the proper work queues and prepare outgoing mail.
- Assist internal or external customers and visitors through in-person and written communication by addressing inquiries resolving concerns and offering guidance on services rules regulations policies procedures and appeals.
- Access special computer programs and scanner hardware to enter data and process customer service requests.
- Review documents and records for completeness accuracy and compliance with rules.
- Order receive process and maintain inventory.
- Assist in processing responses to requests for information and payment.
Qualifications
What you will bring to the role:
- Two (2) years of experience in clerical or customer service experience.
- Experience using computer programs to write documents send emails edit spreadsheets share documents present to the team store files and meet with people virtually and in person.
What may help you stand out:- One (1) year of experience sorting scanning and imaging documents.
- Ability to draft organize prepare schedule file and distribute various types of documents for official appeals and hearings processes.
- Prior experience with specific Software including I-Linx DRIVES ATLAS and MS Office tools.
- Experience accurately processing records for an archive process.
Additional Conditions of employment:- Prior to a new hire a pre-employment screening including criminal record history will be conducted. - Some hybrid times may be available but you are expected to be able to present in office full time at our Olympia WA location if chosen for these positions.
