Duties and Responsibilities:
We are hiring a high-performing Executive Assistant to support two senior executives at Innovative Advisory Group. This role blends classic administrative excellence with real estate-specific execution operational coordination and lifestyle management.
Youll play a critical role in keeping priorities on track managing day-to-day communications and proactively handling business and personal logistics. From site visit planning to inbox triage your work enables the executives to focus on high-impact decisions and long-term value creation.
This is a fast-paced high-trust position for someone who thrives in dynamic and changing environments and brings professionalism poise and proactive thinking to everything they do.
Real Estate & Business Support
- Manage complex calendars involving site visits and internal reviews
- Track deadlines and deliverables across deal flow development milestones and transaction closings
- Prepare meeting agendas take notes manage follow-ups and support reporting
- Coordinate company travel for business conferences and property tours
- Maintain corporate entity compliance with Government authorities.
- Coordinate Company-sponsored events
- Procure supplies for office marina and gifts for vendors and Team Members
Personal & Lifestyle Coordination
- Arrange personal travel vacations and reservations
- Coordinate family schedules household staff and family appointments as needed
- Source gifts handle personal errands and manage special events
- Serve as liaison with personal service providers and vendors
Well-Being & Work-Life Rhythm
- Block and protect time for deep work travel recovery and wellness
- Schedule medical fitness or personal care appointments
- Support meal planning groceries or delivery scheduling
- Monitor weekly bandwidth and help rebalance as needed
Tasks to assign to Executive Assistant:
- Travel and flight coordination scheduling ground transportation and
- flight catering
- Lodging booking for out of town travel
- Correspondence with partners and vendors including coordinating and setting up Teams meetings
- Vendor client and team gifts
- Holiday greeting creation and dissemination
- Event coordination: Day at the Races Christmas Parties charitable
- events
- Ordering of supplies for office and Intrepid Landing
- Maintain company directory and contact list
- Maintain Corporate entity listing and Secretary of State compliance
- Meeting agendas
- Voting on investment proxy requests
Minimum Requirements:
Language requirement: Excellent English Communication Skills
Education: Bachelors Degree (ideally)
Experience: 4 years of related experience
Industry: Real Estate/Property Industry
Qualifications
- 4 years supporting senior executives (real estate or financial services
- preferred)
- Experience working with or adjacent to real estate professionals
- investors or operators
- Tech-savvy with Office 365 Teams DocuSign and Entrata
- Creating SOPs
- Excellent written and verbal communication
- Strong organizational skills and follow-through
