Position Overview:
The Project Coordinator will serve as a critical operations and coordination hub for all activities related to the Reefs ongoing partnership and projects with the Shivwits Band of Paiutes in Southern Utah. This individual will be jointly selected with support of the team at Reef and the Shivwits Band and will be responsible for ensuring seamless communication planning and execution across all project stakeholders.
This role is ideal for a highly organized proactive and detail-oriented individual who excels at managing logistics tracking action items and keeping teams aligned and on schedule.
Key Responsibilities:
- Serve as the main point of contact for day-to-day coordination between the Shivwits Band and Reef.
- Maintain a high-level overview of all project components timelines and deliverables.
- Organize and schedule all project-related meetings (internal and cross-organizational).
- Develop and distribute meeting agendas in advance.
- Take clear concise meeting notes and distribute them promptly.
- Track and follow up on action items to ensure accountability and progress.
- Maintain shared documents project plans and task lists.
- Help prepare project updates reports and summaries for tribal leadership and Reef.
- Coordinate logistics for in-person meetings site visits and community engagement activities.
- Ensure timely communication between tribal departments Reef team members and external partners.
- Support the planning and documentation of community meetings or public updates related to the project.
- Assist in managing project workflows and flagging issues that may delay progress.
- Help coordinate with legal environmental cultural and other consultants or service providers as needed.
Qualifications:
- 3 years of proven experience in administrative operations or project coordination roles.
- Strong organizational and time management skills; ability to juggle multiple priorities.
- Excellent written and verbal communication skills.
- Familiarity with meeting software (Zoom Teams) and basic office tools (Google Workspace Microsoft Office etc.).
- Ability to work with diverse teams and communicate across cultural and organizational lines.
- Experience working with Tribal Nations or Indigenous communities is highly preferred.
- A strong sense of discretion professionalism and reliability.
