Job Summary

In view of the nature and of the urgency of the temporary positions we are looking to fill it is important for candidates to be available for temporary employment on short practice this implies either being in possession of valid NATO security clearance at the time of application or having been in possession of such a clearance with the possibility to reactivate it swiftly. We therefore only encourage applications for temporary positions if you are already or have previously been in possession of a valid NATO security clearance.

A. POST CONTEXT

The NATO Defence College (NDC) provides senior-level education on transatlantic security issues enabled by research on matters relevant to the Alliance and supported by engagement with several stakeholders.

The Personnel section is responsible to the Head PAB (HPAB) for the recruitment HR management and administration of NATO International Civilian (NIC) personnel appointed to NDC in accordance with appropriate agreements and delegations of authority.

The incumbent of this post is responsible to perform all duties and assume all responsibilities listed in the Principle Duties in a support capacity to the team and to the Head of PAB for a period of six months with possibility of renewal.

B. PRINCIPAL DUTIES

1. Recruitment

  • Assisting HPAB with JD Review.
  • Encoding and advertising vacancy notices as directed.
  • Coordinating candidates communication and interview scheduling.
  • Assisting in preparing selection boards related documentation and compilation of candidate shortlists.
  • Providing logistical support during tests/interviews.

2. Personnel Administration

  • Assisting with contract preparation (offers renewals extensions) for review/ approval and signature by HPAB.

  • Supporting calculation of overtime records.

  • Supporting in preparation of official correspondence to staff.

3. Performance Management

  • Supporting maintaining records of performance objectives and appraisal submissions.

  • Supporting submission of annual reports.

4. Documentation & Reporting

  • Drafting routine HR information notes and keeping up to date HR files and electronic records.

  • Preparing data and simple reports for HPAB review.

  • Assisting with internal communication and memoranda for HPAB approval.

5. General Administrative Assistance

  • Providing support to the Personnel Section team when needed.

  • In consultation with the HR team providing responses to inquiries from Personnel mailbox or to routine staff inquiries.

  • Provide support to the P&I Office for basic requests and recordkeeping.

C. CANDIDATE PROFILE

  • Experience in HR administration or related office support.
  • Familiarity with HR systems (APMS TALEO HRDS)
  • Administrative budgeting knowledge.
  • Strong organizational and communication skills.

    D. ADDITIONAL INFORMATION

  • 2.5 paid days of leave per month worked;

  • Fulfilling working atmosphere in an international and military community;

  • Contract period: 6 months with possibility of extension.
