Job Summary

Position Overview

The Engineering Product Documentation Specialist provides administrative support to Engineerings Certification Testing Team. The position is responsible for following set procedures and a timeline of administrative tasks to maintain the testing database ensure drawings and all test reports are received and review the accuracy of the reports. The Engineering Product Documentation Specialist schedules in-house & off-site testing. The position will also ensure all test report drawings are certified labels are ordered and invoices are sent for payment.

Duties and Responsibilities

  • Work with the Product Testing Lab Technician Test Lab Engineer and the Design and Product Management Teams to maintain the testing database and provide reports for upcoming testing
  • Compile documents from a variety of sources and assemble job folders that include drawings test plans special instructions photos and test results
  • Monitor the testing schedule ensure all information is in place before testing begins update the schedule and keep track of ongoing testing as the product goes through various stages.
  • Schedule in-house and external testing coordinate with external testing labs to get a quote for their services
  • After the product is approved for external testing by the lab engineers coordinate the shipment of our products for external testing verify shipping addresses
  • Compare the documents in the job folder against the 3rd party test report.
  • Proofread draft test reports for accuracy check the internal records of the certification testing against what was recorded by the third-party engineer check spelling and part numbers on the report drafts to avoid mistakes on the final reports.
  • Follow the standard procedure to send reports to various certification agencies used to acquire labels and stickers for our products track the progress and provide feedback
  • Review invoices from third-party testers to verify that the testing was complete and we have a report enter invoice details into a spreadsheet identify the account the invoice is charged to and submit to the Accounting Department for payment
  • Continually acquire knowledge of testing variables and the certification process
  • Prompt and regular attendance at an assigned work location.
  • Interact and communicate with employees and customers in an appropriate manner.
  • Availability on site to confer with staff members with whom the employee must interact on a regular basis.
  • Communicate via email & prepare reports.
  • Review and analyze testing results.
  • Plan prioritize and monitor testing activities.
  • Complete assigned tasks/projects in a timely manner.

Supervisory Responsibility

No direct management or supervisory responsibilities.

Safety

Observe safety and security policies and procedures including proper use of Personal Protective Equipment; report potentially unsafe conditions; and use equipment and materials properly. Follow job-specific safety requirements such as Ladder Safety Power and Manual Tool Safety Safe Lift and Scaffold Safety.

Travel

Approximately <5% travel is required for commuting between the Quaker campuses or for professional development.

Qualifications

An individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge skill and/or ability required.

  • Proficient with Microsoft Office software: Excel Word Outlook and Adobe Acrobat
  • Ability to interpret and apply technical drawings data and standards
  • Familiarity with drafting software - AutoCAD preferred but not required

Preferred Education and Experience

An individual is expected to have the minimum level of education and/or related expertise listed here:

  • High school diploma or a passed General Education Development test
  • Manufacturing and/or Construction background preferred

Position Type and Expected Hours of Work

This is a full-time position. Days and hours of work are Monday through Friday during normal business hours. Occasional evening and weekend work may be required as job duties demand.

  • regularly lift and/or carry objects weighing up to 75 pounds and occasionally lift and/or move more than 125 pounds through team lifting

  • bend climb or balance; and stoop kneel crouch or crawl as necessary.

It is an essential job function and safety rule applicable to every employee working in a safety sensitive classified position to be able to work in a constant state of alertness and in a safe manner.

Vision abilities required by this job may include close vision distance vision color vision peripheral vision depth perception and ability to adjust focus.

Work Environment

While performing the duties of this job the employee is exposed to climactic variations fumes or airborne particles various levels of vibration and moving mechanical parts. Various different types of Personal Protective Equipment might be required based on the employees work location. The noise level in the work environment may require hearing protection.
