Job Description:
A PA to a Directorprovides administrative support by managing the Directors schedule handling correspondence coordinating meetings and preparing documents and presentations.Key duties also include acting as a liaison between the Director and others providing organizational support for events and projects maintaining confidentiality and performing research as needed to support strategic decisions. Calendar Management:
Schedule meetings appointments and events ensuring efficient use of the Directors time. Correspondence & Communication:
Draft emails and letters screen calls and emails and act as a gatekeeper for the Director. Meeting & Event Coordination:
Organize meetings by preparing agendas taking minutes and following up on action items.Assist with planning and logistics for institutional events conferences and workshops. Document & Presentation Preparation:
Create and organize reports presentations and other documents for meetings and reviews. Liaison & Stakeholder Coordination:
Serve as a point of contact between the Directors Office and other departments internal teams and external stakeholders. Project & Operational Support:
Track projects monitor institutional activities ensure deadlines are met and provide support for strategic initiatives. Confidentiality:
Handle sensitive and confidential information with the utmost discretion and integrity.
Required Skills & Qualities
- Exceptional Organizational Skills:To manage complex schedules multiple tasks and deadlines.
- Strong Communication Skills:Both written and verbal for drafting correspondence and liaising with stakeholders.
- Time Management:Ability to prioritize tasks and manage time effectively in a fast-paced environment.
- Discretion and Trustworthiness:Essential for handling confidential information and maintaining professional boundaries.
- Problem-Solving:Ability to resolve issues and make decisions independently.
