HeartShare St. Vincents Services (HSVS) Nuevo Camino program is dedicated to providing 38 unaccompanied minors ages 5-12 with a supportive nurturing environment through transitional foster homes daily education Monday - Friday and supportive wrap-around services in the Sunset Park section of New York City. Our program is rooted in ensuring that service delivery is trauma informed culturally appropriate and tailored to the needs of each child while maintaining all program requirements of ORR.
Primary Responsibilities and Essential Functions of Position:
Provide support to Program Officers and Directors in oversight of program quality and quality assessment tools.
Assist in general operations of the department or unit including but not limited to communication with internal and external stakeholders data entry tracking and reporting and administrative support for funding proposals.
Coordinate travel plans conference presentations and planning groups; negotiation meetings space; making arrangements for equipment and/or shipping.
Greet and monitor entry/exit of clients vendors stakeholders and staff at the facility site.
Provide assistance for monitoring preparation including collecting memos training plans and informal communications throughout the year and filing reports.
Prepare check requests for vendors consultants and others as well as expense reimbursement requests as needed.
Provide timely documentation in the UC portal
Assist with various programmatic communication processes and tools including program memos network communications informational materials and other communications and tools.
Document next steps and follow-up items subsequent to meetings/events; identify priorities responsibilities and timeframe for those activities; distribute assignments as appropriate; and track follow-through.
Produce internal and external documents including meeting minutes letters forms and briefings.
Schedule plan and attend internal and external meetings; Maintain up to date contact lists and address changes in databases.
Must be flexible in the event of an emergency and willing to work on a rotating schedule if required.
May be required to work holidays with holiday flexed to another day.
