Salary: Range 57: $64776 - $84984per year (DOQ).

WASHINGTON STATE RESIDENCY AND TELEWORK INFORMATION


AOC requires employees to reside in Washington exceptions must be approved. If you are invited to interview and currently reside outside of Washington State seek more information about residency requirements from the AOC hiring manager for this recruitment.


This position requires five (5) days a week in office.

Duties and Responsibilities


Some of the duties you will perform are:

  • Manages the Directors calendar and the processing of priority issues affecting the day-to-day operation of the Division or Office; informs Director of significant and important items requiring review or action; calls attention to deadlines and obtains progress reports.
  • Serves as a liaison between section managers and the Director in coordinating agency programs plans and operations; disseminates information to section managers and Division staff including notification of assignments due date reminders and requests for progress reports.
  • Coordinates meetings including scheduling facilities agenda needed materials minutes and follow-up; represents the Director at meetings.
  • Writes and prepares correspondence; conducts studies and prepares reports; maintains files and records.
  • May act as the designated administrative support for section/division recruitments. Tasks may include: securing timeslots for interview panels initiating and coordinating video interviews communicating with candidates drafting first-day on-boarding agendas submitting network access requests completing training requests ordering equipment and coordinating other recruitment activities with hiring managers/supervisors and HR.
  • Supervises clerical staff as business needs dictate.
  • Performs other duties as required.

Qualifications and Credentials


  • A bachelors degree in business administration public administration or closely related field;


AND


  • Three (3) years progressively responsible administrative support experience in a professional work environment.
  • Advanced word processing skills.


A combination of relevant education and experience demonstrating a working knowledge of the functions and responsibilities of a Senior Administrative Assistant may be considered in meeting the qualification baseline.


THE IDEAL APPLICANT WILL ALSO HAVE SOME OR ALL OF THE FOLLOWING EXPERIENCE EDUCATION KNOWLEDGE SKILLS AND ABILITIES


  • Proficient in using Microsoft 365 products including Teams Outlook Word OneNote PowerPoint and others with expertise appropriate to the responsibilities of the role.
  • Knowledge of grammar spelling clerical procedures and office procedures.
  • Accuracy and attention to detail in the delivery of work products.
  • Ability to maintain confidentiality at the highest organizational levels.
  • Communication skills both orally and in writing.
  • Professionalism in dealing with clients staff management.
  • Ability to multi-task and effectively work on multiple projects simultaneously.
  • Prioritization and effective time management.
  • Sensitivity to critical issues.
  • Efficiently develop recommendations and options.

  • The workweek may fluctuate depending on workload or agency needs.
  • Overnight travel may be required based on business needs.
  • This position may be overtime eligible.
