We are seeking a detail-oriented Secretary to join our team in Oakville this role you will provide essential administrative support to ensure smooth office operations and efficient workflow management.
- Manage calendars schedule meetings and coordinate appointments for team members
- Handle incoming calls emails and correspondence professionally and efficiently
- Maintain organized filing systems for both digital and physical documents
- Prepare and edit business documents reports and presentations
- Coordinate travel arrangements and process expense reports
- Take and distribute meeting minutes
- Manage office supplies inventory and place orders as needed
- Assist with organizing company events and meetings
- Provide general administrative support to team members
- Operate and maintain office equipment
Qualifications :
- High school diploma required; post-secondary education in Business Administration or related field preferred
- Minimum 2 years of experience in an administrative or secretarial role
- Advanced proficiency in Microsoft Office Suite (Word Excel PowerPoint Outlook)
- Exceptional organizational and time management skills
- Strong written and verbal communication abilities
- Demonstrated multi-tasking capabilities and attention to detail
- Experience with office equipment operation and maintenance
- Professional phone etiquette and customer service orientation
- Ability to maintain confidentiality and exercise discretion
- Strong problem-solving skills and proactive approach to tasks
Additional Information :
Hours: Monday to Friday 7.5 hour shifts days & evenings. Required to work 1 evening shift per week (hours are subject to change based on operational needs)
Salary: $23.20 to $28.96 per hour
