Position Summary
This is administrative work within the First Judicial Districts Office of Human Resources. Principal emphasis of the work is serving as the first point of contact for the office greeting visitors and callers answering phones managing schedules and handling mail and administrative tasks to ensure a welcoming atmosphere.

Essential Functions

- Greet and welcome guests determine the reason for their visit and escort them to the designated HR contact.
- Receive and screen telephone calls and provide general information to candidates employees and other callers.
- Prepare and manage employee files in compliance with FJD record retention policies and State and Federal requirements.
- Perform administrative and recordkeeping tasks to include filing scanning preparation of correspondence and mailings and other clerical duties to support the office.
- Data entry into District HRIS system and City of Philadelphia OnePhilly platform as required.
- Performs other duties as assigned.
MARGINAL FUNCTIONS
Performs related work as required.

Standard clerical office conditions.

Competencies Knowledge Skills and Abilities
- Knowledge of court service and related inter-agency personnel regulations rules policies procedures and practices in accordance with work assignment.
- Considerable knowledge of office practices and procedures required in maintenance of First Judicial District central personnel records files and related documentation.
- Knowledge of English usage and grammar.
- Ability to make varied basic arithmetic computations with speed and accuracy.
- Ability to type from clear copy at a speed and accuracy level as required by assigned function.
- Ability to establish and maintain effective working relationships with departmental managers inter-agency personnel and fellow employees in accomplishing assigned functions.

Qualifications :
- High school diploma or equivalent is required.
- Bachelors degree in Business Administration or Human Resources is preferred.
- Two years experience as a receptionist or client service representative is required.
- Customer Service experience is required.
- Strong organization time management and communication skills is required.
- This is a full-time onsite (not remote) position.
