Job Summary:

We are seeking an organised and detail-oriented Payment Manager to join our finance team. The Payment Manager will be responsible for overseeing all aspects of the payment process ensuring accuracy efficiency and compliance with company policies and applicable regulations. The ideal candidate has a strong background in finance excellent analytical skills and a proven track record of managing payment operations effectively. This role requires a meticulous individual who can thrive in a multi-school environment collaborate with cross-functional teams to optimtise payment processes and drive continuous improvement within a centralised payment framework. The Payment Manager will lead a team of accounting officers (payments) and will report to the Finance Manager.

Responsibilities:

  1. Payment Processing: Supervise the end-to-end payment process including general journal invoice and staff reimbursement verification vendor management payment approvals and disbursements. Ensure timely and accurate processing of payments while adhering to established policies and procedures.
  2. System Implementation & Updates: Be a key member of the implementation team of the invoice approval payment system and centralisation of supplier payments. Liaise with internal stakeholders in schools IT and project team to identify and drive areas where process and internal control changes are required. Update rates and coordinate system updates with IT.
  3. Compliance and Risk Management: Ensure compliance with internal policies and implement measures to mitigate payment-related risks.
  4. Team Management: Manage a team of 6 staff and be responsible for their coaching performance review training and development.
  5. Vendor Management: Collaborate with vendors and colleagues to ensure accurate billing and resolve payment discrepancies.
  6. Process Improvement: Continuously evaluate payment processes and systems to identify opportunities for automation streamlining and operational efficiency. Implement process improvements and best practices to enhance accuracy and reduce payment cycle time.
  7. Team Collaboration: Collaborate with schools and head office departments to resolve payment-related issues optimize workflows and drive alignment. Provide guidance and support to team members when necessary.
  8. Payment Reconciliation: Perform regular payment reconciliations to ensure accuracy and identify any discrepancies. Investigate and resolve payment discrepancies in a timely manner.
  9. Management reporting: Prepare monthly P/L and other regular or ad hoc schedules/reports to departments on a timely basis.
  10. Audit and Tax Reporting: Ensure accurate records of payments and transactions for audit purposes and financial reporting are kept. Prepare audit schedules and annual tax returns related to withholding tax and IR56M.
  11. Others: Performs ad-hoc duties independently as assigned by management including but not limited to training manuals/materials setting/update policy setting/update etc.

Qualifications:

  • Bachelors degree in Finance Accounting Business Administration or a related field with professional qualification in accountancy (CA CPA or CMA).
  • A minimum of 8 years in payment management accounts payable or a similar role.
  • Strong knowledge of payment processing systems financial software and ERP systems.
  • Familiarity with Epicor System or similar accounting software.
  • Good working knowledge of HK tax regulations in relation to company payments.
  • Excellent analytical and problem-solving skills with a keen eye for detail.
  • Ability to prioritise tasks manage multiple deadlines and work effectively under pressure.
  • Strong communication and interpersonal skills with the ability to collaborate across schools and departments.
  • Proficiency in using Microsoft Office Suite particularly Excel and PowerPoint.
