Senior Executive Officer / Executive Officer ()

Under the general supervision of the Director Institutional Research and Strategic Planning and reporting directly tothe Manager (Planning and Performance) the appointee is expected to provide secretarial and administrative support to the Office. The appointee will also assist in the work of data collection and submission of institutional statistics liaison with various internal units government and external bodies where required.

Responsibilities:

• Providing secretarial support to the Director Institutional Research and Strategic Planning;
• Drafting papers/reportsthat serve committees;
• Providing administrative andprocurementsupport to the key activities of the Office;
• Handling recruitment of contract developers designers and student helpers;
• Coordinating large scale data collection initiatives ensuring data integrity and proper management;
• Liaising with internal and external units/parties including drafting official communications and announcements;
• Assisting in the development and enhancement of office policies procedures and best practices;
• Supporting the planning and execution of events workshops or meetings related to the Offices strategic goals; and
• Performing any other duties as assigned.

Requirements:

• A recognised degree plus at leastseven years of relevant post-qualification work experience preferably in tertiary education sector;
• An excellent command of written and spoken English and Chinese (including Putonghua);
• Strong communication and problem-solving skills with exceptional attention to detail;
• Be people-oriented open to new ideas with good organisational interpersonal presentation and supervisory skills as well as the ability to work independently and under pressure; and
• A high level of self-motivation and the ability to multitask and work effectively both as a team player and independently to meet tight schedules.

Work experience in (i) serving committees under higher education settings; (ii) statistical submissions preparation; (iii) working knowledge of statutory reporting and statistical exercises; and (iv) working knowledge of key performance indicators and their application in higher education will be a key with less experience may be considered for the position of Executive Officer.

Shortlisted candidates will be invited to a written test and attend an interview.

The initial appointment will be offered on a fixed-term contract of two years. Re-appointment thereafter will be subject to performance review and mutual agreement.

Salary and rank of appointment will be commensurate with qualifications and experience.
