  • JOB TITLE:Substitute Secretary

    REPORTS TO: Principal

    PURPOSE:Provide temporary essential administrative and clerical support during staff absences. The ideal candidate will be responsible for managing the front office operations including answering phones greeting visitors managing student records and handling various clerical tasks.

    DUTIES and RESPONSIBILITIES:

    • Act as secretary and receptionist for the Principal and Associate Principal performing any duty delegated by any of them.
    • Answers telephone tending routine inquiries; refers calls when needed.
    • Sorts teachers mail and distributes same in mail boxes.
    • Types letters memoranda reports bulletins forms etc.
    • Organizes supplies and instructional materials for distribution to teachers.
    • Maintain a log of visitors to the school.
    • Process building purchase orders in conjunction with Central Office.
    • Keeps accurate data on personnel absences and records for substitute teachers.
    • Responsible for arranging substitutes for any faculty who is absent.
    • Work cooperatively with staff in other offices with the completion of large or time sensitive
      projects or emergencies.
    • Display ethical and professional behavior in working with everyone who communicates or is
      associated with the office. Serve as a role model for students and staff in demonstrating positive
      attitudes appropriate attire and grooming accepting responsibility and an effective work ethic.
    • Protect confidentiality of records and information about students and staff and use discretion
      when sharing any such information within legal confines.
    • Maintain positive attitude with students staff parents and visitors.

    KNOWLEDGE SKILLS and ABILITIES:

    • Ability to communicate effectively and maintain positigve working relationships.

    • Ability and willingness to be flexible and respond to the changing needs of students and the district.

    • Ability to handle information in a confidential manner.

    • Ability to prioritize and coordinate multiple tasks.

    • Ability to convey a positive and professional image to students families and colleagues.

    • Ability to use and integrate technology appropriately in daily work which includes but is not limited to application of basic computer skills to effectively use email internet word processing and ipad applications.
