Coordinates and implements the general fiscal administrative and research grant pre-award and post-award needs in support of the Addiction Sciences Division in the Department of Psychiatry & Behavioral Sciences. The Addiction Sciences Division is supportive of employee growth professional development/career development and performance evaluations on a yearly basis.

Job Description

FLSA: Hourly/Non-exempt

Work Schedule: Monday - Friday 8:30 am - 5:00 pm

Remote Work: Must be fully on campus for 1 year following hire date; eligible for up to 2 remote days/week once 1 year period has ended

Job Duties:

40% - Grants and contracts Post-award management: Under the guidance of the Divisions Grant Administrators this applicant will:

  • Review newly established accounts in WorkDay (Budgets Award Lines Subawards);
  • Maintain and monitor financial tracking through WorkDay for assigned research projects;
  • Provide monthly financial reports to investigators.
  • Assist with setup ongoing maintenance and closeout of subawards. Including tracking of invoices and financial reports.

40% - Fiscal and accounting responsibilities:

  • Review and approval of research purchases in WorkDay for assigned research projects for allowability within the project budget and consonant with State and University procurement policies. Extensive knowledge of Federal State and University purchasing rules and regulations is required.
  • Review and approval of research travel in WorkDay per State and University guidelines and within the project budget.

15% - Grants and contracts Pre-award management: Under the guidance of the Divisions Grant Administrators this applicant will:

  • Assist with preparation of grant and contract proposals and supplements including budgets budget justifications biosketches F&A Waivers and letters of intent;
  • Upload and enter proposals and supplements into Cayuse 424 and Cayuse SP;
  • Assist faculty in responding to Award JITs (Just-in-Time) notices to include updating NIH Other Support documents and collecting documents requested by the sponsor.

5% - Other duties as assigned.

Preferred Experience and Additional Skills: Microsoft Excel proficiency required. Must possess attention to detail and strong mathematical skills. Experience with WorkDay preferred.

Minimum Requirements: A bachelors degree and two years business personnel grant-in-aid or public administration experience.

(Continuous) Ability to determine distance/relationship between objects; depth perception. (Frequent) Good peripheral vision capabilities. (Frequent) Ability to hear and/or understand conversations.
