What you will do forHarris County Precinct 4 (HCP4)

Harris County Precinct 4 seeks a highly organized and efficient Administrative Assistant for the Compliance Division. The ideal candidate will have excellent communication and administrative skills as well as a strong attention to detail. Reporting to the Special Assistant this position will provide administrative support for the Compliance Department. The ideal candidate will consistently promote a professional and positive image of Precinct 4 through personal appearance and public relations. As an Administrative Assistant you will perform delegated and supervised administrative and clerical duties to support the daily operations for the Compliance division including but not limited to the job duties listed below.


Job Duties and Responsibilities:

The duties listed below are only examples of the various assignments that may be performed. Other duties may be required as needed.
  • Provide day-to-day administrative support to the Compliance Division including external communications document management and scheduling support.
  • Support the Special Assistant and Compliance Division on projects assigned including managing all relevant project deadlines.
  • Monitor and update Compliance-related databases and systems.
  • Maintain a database of contacts vendors and partner organizations.
  • Assist with maintaining the Compliance Divisions records and files ensuring they are up-to-date organized and accurate.
  • Assist in preparing Compliance-related reports and presentations.
  • Work collaboratively with other Divisions as needed to accomplish Precinct 4 goals.
  • Support communications and coordination with external stakeholders regarding Compliance Division matters.
  • Perform other duties as assigned to support the Compliance Division.

Requirements

Education & Experience:

  • High school diploma or G.E.D. equivalentfrom an accredited college or university

AND

  • Minimum of four (4) years of experience performing administrative or office support for a supervisor or team.

OR

  • Minimum of two (2) years of experience supporting a high-level manager or executive.
Knowledge Skills and Abilities:
  • Must be proficient in MS Office Suite (Word Excel PowerPoint Outlook).
  • Excellent written and verbal communications skills.
  • Strong organizational and time-management skills with the ability to prioritize multiple tasks and meet deadlines in a fast-paced environment.
  • Ability to establish and maintain effective working relationships and foster teamwork in a diverse environment.
  • Strong interpersonal skills with the ability to interact effectively in a team with colleagues leadership and the public.
  • Innovative and proactive in creating solutions and completing assignments.
  • Flexibility and adaptability to shifting priorities and needs.

Preferences

Experience:

  • Experience with calendar management and scheduling.(preferred)
