Company/Client Overview:
The company is a performance marketing agency specializing in paid social campaigns across Facebook Instagram Pinterest TikTok and Snapchat. Our team partners with e-commerce and lead generation brands to help them scale profitably through strategic media buying creative optimization and transparent client communication.
We are seeking a polished and proactive Executive Assistant to support our Founder and our growing leadership team. This role is replacing our current EA who is moving into a Director of Operations position. Youll be stepping into a well-structured environment with clear expectations and opportunities to grow as the company expands.
Duties and Responsibilities:
The Executive Assistant will play a critical role in maintaining smooth day-to-day operations supporting both internal workflow and external client communications. This position requires exceptional organizational skills strong English proficiency and the ability to represent Spotlight Social professionally in client-facing settings.
Youll manage the Founders schedule oversee email and calendar organization take notes and track action items during meetings and help ensure clients receive timely updates and reports each week. Youll also work closely with our Director of Operations to improve systems and processes as the business scales.
Executive Support
- Manage the founders calendar inbox and daily priorities.
- Handle scheduling reminders and follow-ups.
- Prepare meeting notes action items and task lists.
- Join client calls to take notes and manage next steps.
- Support the Creative Director and Graphic Designer with workflow coordination.
Client Interaction
- Attend client meetings (mainly as an observer/note-taker).
- Handle small client communication tasks (e.g. scheduling follow-ups or sending recaps).
Administrative Operations
- Manage and organize documents folders and shared drives.
- Update and track tasks in ClickUp (primary project management tool).
- Work within Google Workspace for day-to-day admin.
Minimum Requirements:
Language requirement: Excellent English Communication Skills (neutral accent)
Education: Bachelors Degree (ideally)
Experience: 3 years of related experience
- Excellent spoken and written English with a clear professional presentation (minimal accent required)
- Confident communicator capable of representing the company on client-facing calls
- Minimum 3 years of experience as an Executive Assistant Operations Coordinator Client Success or similar support role
- Strong attention to detail organization and follow-through
- Proven ability to work independently and think critically
- Tech-savvy with experience using:
- Slack (communication)
- PipeDrive (CRM and task tracking) preferred
- Zoom (meetings and client calls)
- Google Workspace (Docs Sheets Calendar Gmail)
- ClickUp experience required
- Experience preparing reports and managing client communications preferred
