The position is a hybrid role based in our Mississauga Ontario office with the opportunity to work 2 days remotely per week.

About this role: As a Vendor Operations Specialist within the Licensing Operations team you will play a key role in supporting the end-to-end processing of annuity-based deals. This role is responsible for managing vendor purchase orders tracking recurring billing cycles and ensuring accurate and timely updates across internal finance portals. You will also maintain detailed audit-ready documentation and spreadsheets to support compliance and reporting requirements.

This position is ideal for someone who thrives in a fast-paced detail-oriented environment and enjoys working cross-functionally with finance sales and vendor teams to ensure operational excellence.

Position Summary:

  • Support the end-to-end processing of annuity-based licensing deals.
  • Manage and update vendor purchase orders (POs) in internal finance portals.
  • Track recurring billing cycles and ensure timely updates for renewals.
  • Maintain accurate records and spreadsheets to support internal audits and compliance.
  • Collaborate with cross-functional teams including Sales Finance and Vendor Management.
  • Monitor deal progress and proactively resolve discrepancies or delays.
  • Ensure data integrity and consistency across systems and documentation.

What you bring to the role:

  • Typically requires a diploma or degree or equivalent experience.
  • 1-2 years of sales support or operations experience is ideal.
  • Experience working in Distribution or having vendor experience would be ideal.
  • Experience with MS Office suite including proficiency in Excel formulas or pivot tables would be an asset.
  • Must be organized and have a strong attention to detail.
  • Must be adaptable analytical and eager to learn and highly motivated.
  • Follows standard practices and procedures in analyzing situations or data from which answers can be readily obtained.
  • Excellent communication skills with the ability to effectively collaborate with team members and vendors.
