Position Overview
The Florida Department of Health Childrens Medical Services (DOH-CMS) is seeking an experienced Executive Secretary / Administrative Assistant to provide high-level administrative and clerical support to executive management. This role requires a professional who is highly organized detail-oriented and able to handle multiple priorities efficiently within a fast-paced environment.
Key Responsibilities
Provide comprehensive administrative support to executive management and departmental leadership.
Prepare and manage correspondence reports and presentations using Microsoft Office applications (Word Excel PowerPoint).
Schedule meetings manage calendars and coordinate appointments and travel arrangements.
Handle incoming calls emails and customer inquiries with professionalism and excellent customer service.
Maintain accurate records files and confidential information in compliance with organizational standards.
Assist in the preparation of documents for meetings including agendas and meeting minutes.
Support day-to-day office operations ensuring smooth workflow and timely completion of administrative tasks.
Qualifications :
Required Qualifications
Minimum 1 year of experience working as an Administrative Assistant in a professional office environment.
Minimum 1 year of experience providing support to executive management.
Minimum 2 years of customer service experience.
Required Skills
Strong verbal and written communication skills.
Excellent organizational and time management abilities.
Proven ability to multitask and prioritize work effectively.
Proficient in Microsoft Office Suite (Excel Word PowerPoint).
