Overview
We are seeking a highly organized and detail-oriented Senior Admin Assistant to join our team. This role involves a mix of finance administration and light sales/marketing support. You will play a key part in keeping daily operations running smoothly assisting with accounting data entry compliance and customer communications. The ideal candidate is flexible proactive and comfortable working in a small business environment.
Key Responsibilities
- Manage accounts receivable and payable using Xero.
- Prepare monthly financial accounts for management meetings including handling international payments.
- Work with Unleashed to create and receipt purchase orders allocate stock send invoices and quotes and handle general data entry.
- Assist with inbox management by drafting replies to customers and supporting customer service/general administration.
- Generate compliance test reports (basic tasks training provided).
- Organize service work and create schedules for technicians.
- Provide sales support and data entry using HubSpot (experience not essential).
- Assist in marketing efforts using Canva and Mailchimp (experience not essential).
- Document repetitive processes by creating written and video procedures to ensure consistency.
Key Skills & Qualifications
- 4 years of experience in admin or executive assistance is a must
- Strong English communication skills (spoken and written).
- Accounting and bookkeeping - Xero experience is a must.
- Willing to do light marketing tasks as needed
- Ability to adapt and be flexible in a small business environment.
- Strong organizational skills with high attention to detail.
- Willingness to learn new systems and processes.
