Reporting directly to the CEO the Executive Assistant will serve as a key liaison to the Board of Directors and senior management teams coordinate executive outreach and external relations and oversee special projects. The position will start off in the office with the opportunity to work in a hybrid setting (3 days in the office).
Essential Duties & Responsibilities
Manage and maintain the CEOs calendar appointments and travel.
Anticipate scheduling conflicts and prioritize meetings effectively.
Coordinate internal and external meetings with senior stakeholders.
Be the primary point of contact between the CEO and internal/external partners.
Draft review and manage emails reports memos and other communications.
Handle highly confidential information with discretion.
Plan and coordinate complex domestic and international travel including itineraries accommodations and logistics.
Process travel expenses and reimbursements.
Prepare briefing materials agendas and presentations for meetings.
Record meeting notes track action items and ensure timely follow-up.
Attend select meetings on behalf of the CEO as needed.
Monitor progress on key deliverables and help drive completion.
Support strategic initiatives and assist in planning company events.
Collaborate with other departments on CEO-led projects.
Uphold and promote the companys core values in all interactions.
Qualifications
3 years of executive assistant or high-level administrative experience.
Strong written and verbal communication skills.
Excellent organizational skills with proven ability to manage multiple priorities.
High level of discretion and professionalism in handling sensitive matters.
Proficiency with Microsoft Office Suite and other productivity tools.
Ability to thrive in a collaborative entrepreneurial and fast-moving environment.
