Keep our hospital running smoothly behind the scenes. The Facilities Management Assistant plays a vital role in ensuring the safety efficiency and compliance of Womans Hospitals physical environment. This position supports all aspects of our computerized maintenance systems reporting and departmental operationshelping us deliver excellence in every corner of our hospital.
Requirements:
- Education: High School diploma or equivalent is required. Completion of at least one year of business or administrative coursework preferred.
- Experience: Minimum of two years of experience working with computer systems including proficiency in word processing data entry and report generation. Experience in maintenance facilities management or healthcare operations preferred.
- Knowledge & Skills: Excellent written and verbal communication with strong grammar and proofreading skills. Demonstrated ability to compile numerical data and generate reports using computer systems. Strong attention to detail organization and follow-through. Customer service skills to effectively interact with both professional and non-professional staff. Proficiency with Microsoft Office Suite; experience with CMMS or similar maintenance software highly desirable.
Responsibilities:
- Manage and maintain the computerized maintenance management system (CMMS) including generating and tracking work orders updating asset and equipment records and compiling preventive maintenance and repair histories.
- Assist with regulatory and safety programs maintaining life safety files facility and utility logs fire extinguisher listings and related compliance documentation.
- Support system integration and technology upgrades ensuring accurate interfaces between maintenance purchasing and utility systems (CMS GHX Atania and others).
- Prepare reports and data summaries for the seven Environment of Care (EOC) management plans Joint Commission readiness and monthly key performance indicators (KPIs).
- Coordinate and compile reports for weekly monthly and quarterly department and EOC meetings.
- Serve as liaison with software vendors and internal departments to troubleshoot issues and implement new system modules.
- Provide administrative and clerical support including correspondence data entry filing ordering supplies and maintaining department payroll and attendance records.
- Contribute to departmental efficiency by responding to calls promptly assisting team members and completing all assigned tasks in line with Womans mission and policies.
