Open Door Care Network provides health care and wellness programs to individuals and families in need throughout Westchester Putnam and Ulster Counties. a fast-paced Federally Qualified Health Center (FQHC) we are committed to delivering high-quality patient-centered care across multiple specialties. Our residency program includes 24 residents and 7 faculty members providing comprehensive primary care to our diverse patient population. We value efficiency teamwork and operational excellence to ensure every patient is seen by their primary care provider (PCP) and care team.

We are seeking a highly organized and detail-oriented Scheduling Coordinatorto manage the schedules of our residents and faculty optimize patient access and support continuity of care. This role requires excellent communication multitasking and problem-solving skills in addition to being comfortable using EMR in a fast-paced clinical environment.

As an Open Door employee you would beeligible to participate in Open Doors Retention Bonus Plan which pays a quarterly bonus of $750 beginning the first quarter following 3 months of employment as long as you remain an active employee in good standing. The Retention Bonus Plan will continue until December 2025 and will be re-evaluated at that time.

KEY DUTIES AND RESPONSIBILITIES

  • Open maintain and manage clinic schedules for 24 residents and 7 faculty members ensuring optimal patient flow and coverage.

  • Schedule patient appointments in alignment with PCP assignment and care team continuity.

  • Coordinate and communicate with residents faculty and administrative staff regarding schedule changes cancellations and rescheduling.

  • Monitor and track patient no-shows cancellations and referral follow-ups to ensure timely care.

  • Collaborate with clinical teams to optimize schedule efficiency while meeting high patient volume demands.

  • Generate and review daily weekly and monthly scheduling reports for leadership.

  • Support continuous quality improvement initiatives including reducing wait times and improving patient satisfaction.

QUALIFICATIONS

  • EDUCATION: High school diploma required; Associates or Bachelors degree preferred.

  • Required bilingual skills in English and Spanish

  • 2 years of experience in medical scheduling preferably in a residency or high-volume clinic setting.

  • Experience with electronic medical records (EMR) and practice management systems; knowledge of eClinicalWorks (eCW) is a plus.

  • Bilingual in Spanishstrongly preferred.

  • Exceptional organizational multitasking and problem-solving skills.

  • Strong communication and interpersonal skills; ability to coordinate across multiple providers and departments.

  • Ability to work in a high-speed clinic environment while maintaining attention to detail.
