Scheduling Coordinator Sleepy Hollow

Open Door Care Network provides health care and wellness programs to individuals and families in need throughout Westchester Putnam and Ulster Counties. a fast-paced Federally Qualified Health Center (FQHC) we are committed to delivering high-quality patient-centered care across multiple specialties. Our residency program includes 24 residents and 7 faculty members providing comprehensive primary care to our diverse patient population. We are seeking a highly organized and detail-oriented Scheduling Coordinatorto manage the schedules of our residents and faculty optimize patient access and support continuity of care. This role requires excellent communication multitasking and problem-solving skills in addition to being comfortable using EMR in a fast-paced clinical environment.

As an Open Door employee you would beeligible to participate in Open Doors Retention Bonus Plan which pays a quarterly bonus of $750 beginning the first quarter following 3 months of employment as long as you remain an active employee in good standing. The Retention Bonus Plan will continue until December 2025 and will be re-evaluated at that time.

KEY DUTIES AND RESPONSIBILITIES

• Open maintain and manage clinic schedules for 24 residents and 7 faculty members ensuring optimal patient flow and coverage.

• Schedule patient appointments in alignment with PCP assignment and care team continuity.

• Coordinate and communicate with residents faculty and administrative staff regarding schedule changes cancellations and rescheduling.

• Monitor and track patient no-shows cancellations and referral follow-ups to ensure timely care.

• Collaborate with clinical teams to optimize schedule efficiency while meeting high patient volume demands.

• Generate and review daily weekly and monthly scheduling reports for leadership.

• Support continuous quality improvement initiatives including reducing wait times and improving patient satisfaction.

QUALIFICATIONS

• EDUCATION: High school diploma required; Associates or Bachelors degree preferred.

• Required bilingual skills in English and Spanish

• 2 years of experience in medical scheduling preferably in a residency or high-volume clinic setting.

• Experience with electronic medical records (EMR) and practice management systems; knowledge of eClinicalWorks (eCW) is a plus.

• Bilingual in Spanishstrongly preferred.

• Exceptional organizational multitasking and problem-solving skills.

• Strong communication and interpersonal skills; ability to coordinate across multiple providers and departments.

• Ability to work in a high-speed clinic environment while maintaining attention to detail.
