The Aftercare Services Administrative Coordinator provides essential operational and administrative support to the Aftercare team. This role ensures timely handling of correspondence mailings and supply management while also assisting with document logistics digital communications and travel coordination. The ideal candidate is highly organized detail-oriented and comfortable managing multiple tasks in a fast-paced mission-driven environment.
Administrative:
- Monitor Aftercare communication (for example email and voicemail); respond and triage inquiries to appropriate team members
- Process daily incoming and outgoing mail; log and scan documentation as needed
- Assist with scheduled mailings correspondence and donation update requests
- Support mailing and shipping needs for Aftercare and ACP program
- Inventory and order Aftercare supplies and printed materials
- Coordinate travel and conference bookings
- Assist with document request needs
- Provide support for projects
- Maintain internal departmental documentation
This position will require on site attendance in Waltham MA - Monday - Friday 40 hours a week 8:30am - 5:00pm
Qualifications :
KNOWLEDGE SKILLS AND ABILITIES:
- Project Management Skills: Ability to critically think solve problems and work productively both independently and as a team participant and utilize time-management skills to meet deadlines.
- Computer & Application Literacy: Proficiency Microsoft 365 suite Zoom Adobe Acrobat as well as ability to learn NEDS-specific applications.
- Interpersonal and Communication Skills: Strong interpersonal written and verbal communication skills. Ability to critically think problem solve and work productively both independently and as a team participant. Skilled in active listening and proven ability to handle sensitive and confidential information.
- Initiative: Is a self-starter. Seeks solutions and makes practical suggestions. Finds new and better ways to perform job and functions. Displays ingenuity in anticipating and meeting unexpected situations.
- Organization: Able to successfully prioritize when faced with demands requests and deadlines. Effectively handles competing priorities. Is able to distinguish between the crucial and trivial. Sees the big picture. Keeps situations in proper perspective.
- Confidentiality: Ability to handle highly confidential information in a professional manner. High level of judgment and discretion.
EDUCATION AND EXPERIENCE:
- Associates degree (A.A.) or equivalent from two-year College or technical school; or two years related experience and/or training; or equivalent combination of education and experience.
