POSITION TITLE: Office and Showroom Coordinator

DEPARTMENT:Facilities

REPORTS TO: Facilities Manager

LOCATION:New York NY

JOB TYPE: Full-Time On-Site

POSITION SUMMARY: The Office and Showroom Coordinator will play a key role in ensuring the smooth daily operations of our New York office. This individual will be responsible for overseeing the showroom and assisting our corporate office facilities to ensure a clean safe and operationally sound environment. Youll support various office functions take on ad hoc administrative tasks and be the first point of contact for our Showroom and Facilities inquiries.

Facilities Responsibilities:

  • Conductthoroughwalk-throughsofeachfloortwiceadayonceinthemorning and once in the afternoon
  • Review Facilities Checklist ensuring office standards are met and note all items managertomakesure all items are resolved.
  • ManagefacilitiesincidentsandrequestsintheFreshService ticketsystem
  • Beproactiveinidentifyingandsolvingpotentialissuesintheoffice
  • Monitorandrestockofficeandkitchensupplies
  • Provideadditionalsupportasamemberofthefacilitiesteam

Showroom Responsibilities:

  • Managetheshowroomcalendarandevents
  • Welcomeaccountsandofficeguestsensuringallinteractionsarehandledwith professionalism and care
  • Ensureproper showroom eventexecution including coordinatingwith outside vendorscoordinatingwithonsitestaffconnectingwithguestsandassistingin set-up and clean-up.
  • Assistthesalesteamwithmarketappointmentsandtheirneedsfortheday
  • Monitorandmaintaininventoryofshowroomsuppliesandmarketorders
  • Ensuretheshowroomandlobbyarealwayscleanaftereachscheduledevent and up to standard day to day
  • Liaisonwiththevisualteamonshowroomandlobbystandards

ESSENTIAL SKILLS EXPERIENCE AND EDUCATION REQUIREMENTS:

Strong communication and interpersonal skills

Must take initiative and communicate office needs on a consistent basis

Have a sense of urgency regarding any office standards or facilities needsand

Excellent organizational skills and attention to detail

Proficiency in Microsoft Office (Outlook Word Excel)

Reliable punctual and eager to contribute to a team environment

BENEFITS:

$50000 - $55000 base salary (This range represents the low and high end of the anticipated base salary range for this NY-based position. The base salary will depend on numerous factors such as experience and qualifications for the role experience level skillset and balancing internal equity relative to other AO employees.)
