Role Overview
We are seeking an Administrative Coordinator to provide full administrative support to our Traffic Management Design (TMD) team. This role involves managing records and documentation organizing calendars and meetings coordinating events and ensuring smooth day-to-day operations.
The ideal candidate is detail-oriented proactive and able to build strong working relationships across the team. This is a great opportunity for someone who enjoys working in a fast-paced supportive environment while contributing to both team efficiency and workplace culture
Key Responsibilities
Team Support & Documentation
- Maintain accurate records including the Master Datasheet and other TMD documentation.
- Monitor and track team attendance records.
Calendar & Meeting Coordination
- Facilitate effective weekly team huddles ensuring smooth coordination and follow-up.
- Manage calendars for meetings and events including scheduling and communication with attendees.
Office & Operations Support
- Ensure the remote office environment remains functional and well-supported.
- Track technical concerns and ensure availability of necessary supplies.
Event & Activity Coordination
- Plan organize and coordinate internal and external events or activities.
- Collaborate with stakeholders to ensure smooth execution of events.
Culture & Core Values

About the Client
Our client is a Queensland-based traffic management services company that supports large-scale infrastructure projects council works and commercial operations across Australia. The Philippine-based team works closely with their Australian counterparts to deliver safe compliant and high-quality traffic management solutions.

Requirements
Bachelors degree in Business Administration Office Management or related field (preferred).
Proven experience in an administrative coordinator or office support role.
Strong organizational and time-management skills.
Excellent communication skills (verbal and written).
Proficiency in Microsoft Office Google Workspace or similar productivity tools.
Ability to work independently and handle multiple priorities.
