Position : Contracting & Invoicing Specialist
Working Schedule : 9a-5p (CET) Germany Time
Salary Range :2000-2500 USD Monthly (the final salary will be determined by the candidates level of experience and at the discretion of the client)
Position Overview
We are looking for a highly detail-oriented Contracts & Invoicing Expert to join our team in an offshore capacity. This role covers the preparation and management of artist contracts issuing and tracking invoices and ensuring compliance with VAT withholding tax (WHT) and other applicable tax laws. The position requires close collaboration with internal teams and direct communication with clients such as promoters.
Key Responsibilities
- Draft review and manage artist contracts and deal memos with accuracy and consistency.
- Issue invoices in line with agreements applying VAT WHT and other tax rules correctly.
- Track outstanding invoices monitor payment timelines and follow up proactively with clients.
- Liaise directly with promoters agents assistants and the accounts team to resolve discrepancies and ensure smooth payment flows.
- Maintain accurate records of contracts invoices and payments across booking and finance systems.
- Provide regular reporting on invoicing and payment status to management.
- Identify workflow bottlenecks and suggest improvements to streamline processes.
Qualifications
- Proven 3-5 years of experience in international contracts and invoicing ideally in the music entertainment or creative industries.
- Strong knowledge of VAT withholding tax and cross-border invoicing rules.
- Excellent communication and interpersonal skills; able to liaise with both internal and external stakeholders.
- Highly proactive organized and able to manage multiple tasks and deadlines independently.
- Exceptional attention to detail with a commitment to accuracy.
- Proficiency in Excel Google Sheets and booking/finance systems.
- Strong written and spoken English.
Preferred Qualifications
- Background in finance accounting or legal administration.
- Familiarity with SystemOne or similar booking agency platforms.
- Experience working with European and international tax environments.
