Overview
The Executive Assistant to the Chief Development Officer of Engagement will serve as a primary strategic and administrative resource providing project support to the Engagement team. This position independently manages various projects to include individual and department projects delegations and timelines.

Heres just some of what you will be doing daily
- Provide project management coordination for Chief Development Officer partnering to ensure CDOs time and focus is available for executive level responsibilities.
- Conduct research collect and analyze data prepare reports and/or presentations and documents as requested by the CDO.
- Provide outstanding customer service. Act as the main point of contact for CDOs Directors and staff regarding both internal and external inquiries appointments and concerns. Proactively respond to inquiries and concerns; clearly and positively communicate solutions with exceptional follow through. Effectively and efficiently route and answer questions not requiring CDOs attention or time.
- Oversee analyze manage and report on the CDOs Directors budgets working with them in Prophix as requested by the CDO. Develop a system and regularly keep CDO updated regarding each Directors budget and any issues that may arise.
- Represent CDO in appropriate meetings negotiating contracts and services. Manage vendor relations per agreed upon contracts. Make independent judgments and decisions.
- Create engaging and informative presentations utilizing multimedia and technical tools.
- Serve as the primary administrative resource for the CDO including but not limited to development of correspondences of both confidential and non-confidential matters email and voicemail communication and other general administrative functions as addition helping to book meetings coordinate schedules and handle a variety of meeting logistics as well as book travel for CDO or their personnel as requested. Complete expense reports tracking and turning in receipts as well as code and process invoices for payments.
- Maintain/stock the Engagement Group supply cabinet; update the Engagement Group staff phone list and Christmas card list; and maintain the Engagement Group mailboxes.
- Make travel arrangements including reservations for air car and hotel for the Engagement Group.
- Assume responsibility coordinating Engagement Group purchases with the Finance Purchasing Specialist. Where appropriate create purchase requisitions and ensure proper coding and processing of vendor invoices. Assure us cost-effective measures are being taken with all purchases.
- Review timecards and time-off requests for the department.
- Manage Engagement Group training calendar team portal and key IT files. Coordinate content contribution and at times create content as well.
- Organize and maintain records receipts and purchase orders in line with Finance policies and procedures.
- Independently troubleshoot and manage administrative issues that arise (such as timecard questions; meeting logistics and schedules) making decisions following through to resolution and ensuring the Engagement Group managers are informed along the way.
- Develop systems and moderately complex spreadsheets (charts graphs analysis from multiple sources) that consistently keep accurate record of Engagement Group information to include expenses merchandise purchases personnel expenditures (reimbursements and time keeping) budget tracking and other items. Work with Engagement Group managers on discrepancies and budget concerns. Regularly keep Engagement Group managers informed of status and budget through regular meetings and reporting.
- Facilitate and compile Engagement Group artifacts for annual financial audit.
- Work often requires a flexible schedule especially during Pledge Drive (evening early morning and weekend hours required).
- Perform other duties as assigned.

- Bachelors degree or combination of education/training with relevant experience.
- Minimum of 4 years of experience working in an administrative/project management capacity.
- Excellent interpersonal skills with the ability to develop sincere business/ministry relationships.
- Strong organizational and administrative skills strong attention to detail.
- Demonstrated understanding and knowledge of ministry and non-profit environment.
- Media savvy and able to create visual presentations utilizing video graphs and other media.
- Budget management experience; experience establishing and tracking budgets.
- Staff management experience: experience coaching and proactively and positively resolving employee relation concerns.
- Experience independently negotiating contracts and agreements.
- Strong computer skills; advanced knowledge of Microsoft Office products (Word Excel PowerPoint Outlook). Ability to create graphs; charting; complex analysis within multiple systems; data parsing; and presentations.
- Demonstrated ability to work independently establishing and meeting performance/ministry goals.
- Exhibits versatility and flexibility. Regularly adapts to change while maintaining a positive attitude and high productivity.
- Demonstrated ability to represent ministry and executive staff professionally and maintain confidentiality.
- Excellent interpersonal skills with the ability to develop sincere business/ministry relationships.
- Ability to multi-task and keep multiple projects moving forward with accuracy and excellence.
