Title:OfficeSecretary(Certification)

Location: Towsan MD (Onsite/Hybrid)

Duration: 2 Years (with high possibility of extension)

Note:The position will be in person at Towson MD 21204. After one month the client may consider a hybrid work location at the sole discretion of the client. A hybrid work location is not preferred. The client will not consider a fully remote candidate.

JobDuties:

  • Performs a variety of skilled secretarial and clerical duties in support of theOfficeof Certification. Develops formats and prepares correspondence memoranda reports announcements and forms.
  • Composes correspondence and memos.
  • Prepares specialized documents and technical reports.
  • Creates documents for mass mailings.
  • Produces charts graphs and tables.
  • Designs creates and maintains databases spreadsheets rosters and logs. Prepares routine and special reports.
  • Enters sorts and retrieves information in databases and spreadsheets for processing tuition reimbursement tracking employee certification records and initiating salary lane advancements. Gathers and compiles information.
  • Maintains electronic and paper document filing systems. Scans employee records into Information System (EIS). Receives distributes and files documents.
  • Reviews and processes documents pertaining to functions of theOfficeof Certification. Checks documents for completeness accuracy and compliance with established policy and procedural requirements.
  • Receives opens analyzes sorts and distributes incoming inter-officeand U.S. mail. Follows up on assigned responses due dates reviews and signatures.
  • Attends meetings and take notes. Arranges and coordinates appointments conferences and schedules. Reserves meeting rooms. Arranges for equipment supplies and refreshments needed.
  • Answers telephone calls. Provides assistance and information to callers which requires a detailed knowledge ofOfficeof Certification procedures including but not limited to tuition reimbursement Maryland certification and salary lane advancement requirements. Receives and forwards messages toofficestaff. Receives and directs visitors to theoffice.
  • Prepares and processes check request forms requisitions vouchers and purchase orders. Maintains financial records. Monitors expenditures.
  • Performs other duties as assigned.

MINIMUM QUALIFICATIONS:

Education Training and Experience:

Possession of a high school diploma or appropriate equivalent plus three years of secretarial experience. Experience supporting Human Resources functions and using human resources information systems is preferred.

Demonstrated skill in typing 40 words per minute.

Note: Other combination of applicable education training and experience which provide the knowledge skills and abilities necessary to perform effectively in the position may be considered.

Knowledge Skills and Abilities:

Knowledge ofofficepractices and procedures. Knowledge of filing systems. Knowledge of spelling grammar and arithmetic. Knowledge of personal computers andofficesoftware packages. Knowledge of automatedofficesystems.

Demonstrated skill in typing 40 words per minute. Skill in performing word processing functions. Skill in setting up and maintaining databases spreadsheets and logs. Skill in setting up and maintaining filing systems. Skill in gathering and compiling information for statistical reports. Skill in processing financial documents and transactions. Skill in composing correspondence and memoranda. Skill in operating personal computers and relatedofficeequipment.

Ability to communicate effectively both orally and in writing. Ability to follow rules and regulations. Ability to establish and maintain effective working relationships. Ability to appropriately maintain confidential information.
