This position is responsible for gathering reports preparing invoices in Quickbooks to be issued to clients updating internal records related to projects It is also responsible for monitoring the progress of projects. This position will report directly to the Accounting Manager. Responsibilities include but are not limited to:
- Preparing invoices in Quickbooks by entering in data from inspectors reports.
- Maintaining billing folders for assigned projects with all the appropriate documents including proposals expenses third party consultant invoices and monthly client invoices
- Obtain pricing from Proposals/addendums/ change order in order to calculate billings correctly
- Researching any unbilled issues for review with accounting manager
- Issuing invoices to clients through various channels (mail platforms e-mail etc.)
- Updating accounting records with new client information
- Answering questions and handling inquiries from clients regarding invoices
Qualifications :
- At least 4 years of experience in bookkeeping using Quickbooks
- Extensive Quickbooks experience a must
- Strong computer skills proficiency with Excel
- Experience using Deltek is a plus
- Strong organizational skills
- Excellent math ability
- Excellent communication skills
- Experience with hourly and lump sum billing
- Detail oriented and highly motivated self-starter
- Ability to work well with others meet deadlines and respond to changes in priorities
- Construction experience preferred
- Previous experience at an A/E/C Consulting firm is preferred
