HRIS Specialist

The Human Resources Information System Specialist supports Karis Disability Services by ensuring the smooth operation and functionality of the companys HRIS system providing expertise and training regarding data entry configuration problem-solving and policies and procedures. They provide ongoing support and guidance to all levels of the organization regarding the use of the HRIS. Consulting with the HRIS Team Leader the HRIS Specialist recommends a course of action on decisions that result in major changes to specified procedures. The HRIS Specialist is responsible for the improvement of the database structure and internal practices. They work as a team with the Human Resources Department and various supporting roles within the Waterloo Office to promote analyze and develop effective Human Resources practices and information for the best interests of all employees within Karis Disability Services relating to the HRIS.

Responsibilities:

  • Responsible for the oversight of the Human Resources Information System database integrity.
  • Develop structures and standards for the use and maintenance of the Human Resources Information System.
  • Design and prepare reports based on organizational needs defined by the Payroll and HR Systems Manager and HRIS Team Leader.
  • Apply the interpretation of policies & procedures to database practices.
  • Collaborate with other departments to ensure efficient use of information and crossover of HR and other organizational functions.
  • Keep up to date with current practices including software upgrades and introduce HRIS changes with a full understanding of the implications to Karis Disability Services.
  • Prepare Karis for the implications of the database/technology changes and new releases
  • Develop training guides and information manuals using a variety of mediums for use by all levels of employees; explore and determine best practices and communicate them through the manual.
  • Provide advice guidance and counsel to supervisors on employee scheduling and attendance.
  • Train and mentor managers and employees with varying degrees of knowledge in using the database and navigating database information.
  • Attend meetings and video conferences to report update and assist with HRIS changes.
  • Collect summarize and analyze information pertaining to HRIS integrity.
  • Provide quality and timely solutions to Human Resources Department when they require assistance or clarification.
  • Coordinate validate and ensure appropriate approvals prior to database configuration.
  • Liaise with the Payroll group when errors that affect the payroll process require action or clarification.

Requirements:

  • 2 years of previous UKG/Kronos HRIS experience preferred
  • College Diploma in a related field of study (e.g. Business Administration Human Resources)
  • Advanced Excel Skills
  • Interpersonal Skills
  • Exceptional attention to detail
  • Strong written and verbal communication skills
  • Time-management skills
  • Knowledge of research methods and practices including statistical analysis is considered an asset
