Job Description

Hiring Range: $36.55-$43.86. The maximum pay for this position is $51.17.

The Fleet Procurement & Asset Coordinator plays a critical role in the lifecycle management of the Eagle County vehicle fleet. This position is responsible for overseeing all aspects of fleet procurement upfitting replacement vendor relations vehicle recalls and integration of new EV/hybrid technologies. Working closely with the Fleet Manager the Coordinator will streamline acquisition processes manage asset performance and contribute to the countys long-term sustainability and cost-saving goals.

Schedule: Monday-Friday 8:00 am-4:30 pm.

Essential Functions

Fleet Procurement & Upfitting:

  • Manage end-to-end vehicle and equipment acquisition including specifications bids orders and delivery.
  • Coordinate upfitting schedules and ensure timely delivery of ready-to-deploy vehicles.
  • Maintain a live up-to-date procurement and replacement tracking system for full fleet visibility.
  • Explore potential grant opportunities related to fleet procurement and sustainability initiatives; assist in gathering information and supporting grant application efforts in coordination with relevant departments.

Asset Replacement & Disposal Planning:

  • Develop and maintain a proactive vehicle/equipment replacement and disposal strategy.
  • Monitor vehicle lifecycles and advise on optimal replacement and disposal timing based on usage costs and reliability.
  • Coordinate the proper disposal of retired fleet assets ensuring compliance with all regulations and maximizing potential resale value.

EV/Hybrid Technology Research:

  • Continuously research emerging EV/hybrid vehicle options and infrastructure.
  • Identify and propose strategic investments aligned with Eagle Countys sustainability goals.

Recall Management:

  • Proactively track recalls and service bulletins to minimize downtime and reduce repair costs.
  • Schedule and coordinate recall work with vendors and departments.

Vendor & Dealer Relationship Management:

  • Build strong relationships with vehicle dealers body shops and upfitters.
  • Work with Procurement to negotiate bulk or cooperative purchasing and volume discounts.
  • Ensure performance and pricing transparency with all vendors.

Car Share Program Oversight:

  • Assist in the operation and optimization of the Countys vehicle-sharing program.
  • Analyze utilization data to improve scheduling and vehicle allocation.

Insurance & Body Shop Coordination:

  • Collaborate with Risk Management on insurance claims.
  • Manage body shop repairs and minimize vehicle downtime due to accidents.

Data & Reporting:

  • Monitor and manage fleet procurement budgets with precision ensuring strict adherence to financial targets through ongoing consultation with leadership.
  • Maintain asset details and information in the Fleets Faster system.
  • Keep Fleet Manager and Director informed of procurement status vendor issues cost savings and opportunities including asset disposal outcomes.
  • Provide detailed reports and forecasts for vehicle replacement cost analysis and EV transition plans as well as asset disposal records.

Support Fleet Manager & Supervisors:

  • Relieve operational burdens related to procurement recall management and asset disposal.
  • Be a point of contact for departments regarding new vehicle needs and configurations and asset disposal inquiries.
  • Provide detailed reports and forecasts for vehicle replacement cost analysis and EV transition plans.
  • Set up mandatory training for incoming assets

Qualifications

Education Experience Licensure Certification or Registration:

  • Associate or Bachelor degree in Business Administration Automotive Technology Supply Chain Management or related field preferred.
  • Minimum 3 years of experience in fleet operations procurement or asset management.
  • Knowledge of vehicle systems EV/hybrid technologies and fleet lifecycle management.
  • Experience with public sector purchasing or cooperative contracts is a plus.
  • Must possess a valid Colorado Drivers License

Knowledge Skills and Abilities:

  • Clear and concise verbal and written communication tailored to the audience.
  • Strong negotiation and vendor management skills.
  • Excellent organizational and project management abilities.
  • Strong interpersonal and communication skills to liaise with vendors internal departments and leadership.
  • Proficient in Google Workspace Microsoft Office fleet management software (Faster) and procurement platforms.
  • Analytical mindset with attention to cost-efficiency and value.
  • Exercises sound judgment and makes timely informed decisions based on careful analysis.
  • Demonstrates efficiency through time management cost awareness and continuous improvement.
  • Knowledge of vehicle systems EV/hybrid technologies and fleet lifecycle management.
