Position Overview
We are seeking a highly organized proactive and professional Executive Assistant to support our Chief Executive Officer. This individual will serve as a trusted partner providing high-level administrative and operational support to enable the CEO to focus on strategic priorities. The Executive Assistant will manage calendars coordinate key initiatives prepare executive-level communications and act as a liaison between the CEO and internal/external stakeholders.
Key Responsibilities
Executive Support
- Manage the CEOs daily calendar including scheduling meetings appointments and travel arrangements.
- Proactively anticipate needs and ensure the CEO is well-prepared for all meetings presentations and events.
- Draft review and manage correspondence reports and presentations on behalf of the CEO.
Communication & Coordination
- Serve as a professional point of contact between the CEO leadership team clients and other stakeholders.
- Screen and prioritize incoming communications (emails calls requests) ensuring timely and appropriate responses.
- Coordinate executive meetings including agenda development logistics minutes and follow-up actions.
Project & Operational Support
- Support special projects and initiatives as assigned by the CEO.
- Track and monitor progress on key deliverables ensuring deadlines are met.
- Conduct research and prepare briefing materials to support executive decision-making.
Confidentiality & Professionalism
- Handle sensitive information with the utmost confidentiality and discretion.
- Represent the CEO with professionalism and diplomacy at all times.
Qualifications
Education & Experience
- Bachelors degree preferred or equivalent combination of education and experience.
- Minimum of 5 years of experience as an Executive Assistant ideally supporting C-level executives.
- Experience in a fast-paced high-growth or complex organization is highly desirable.
Skills & Competencies
- Exceptional organizational skills and attention to detail.
- Strong written and verbal communication skills.
- Advanced proficiency in Microsoft Office Suite (Outlook Word Excel PowerPoint) and collaboration tools (Teams Zoom etc.).
- Ability to manage multiple priorities under tight deadlines.
- Strong problem-solving skills with a proactive resourceful mindset.
- High level of discretion judgment and emotional intelligence.
