A day in the life:
Manage and coordinate the flow of work in and out of the office and establish priorities
Operate a computer system to transmit and receive messages files and reports.
Organize accounts payable process invoices in the accounting system (TEAMS) and input data into the purchasing system (OregonBuys).
Review employees payroll entries for accuracy and update work schedules.
Provide confidential support to maintenance managers and other staff.
Make travel arrangements schedule meetings and book conference rooms.
Open scan read and distribute mail and maintain files.
Greet the public respond to and transfer phone calls and direct visitors to the correct person or department.
Coordinate prepare and process Adopt-A-Highway permits.
Hybrid remote work options available with 2 days remote per week!
Work is performed in a fast-paced office environment with frequent interruptions and changing priorities and may require occasional travel.

Comprehensive and equitable base salary offer within the listed range. Through an equal pay assessment we will determine the salary offer using the information you provide in your submitted application materials. The salary range listed is the non-PERS monthly salary range. If you are already a participating PERS member or once you become PERS eligible the salary range will increase by 6.95%.

Minimum qualifications:
Two years of general clerical experience that includes keyboarding word processing or other experience generating documents;
OR
An associate degree in any field;
OR
An equivalent combination of education and experience.
Special qualifications:
Driving is an essential function of this position. You must have a valid US driver license and an acceptable driving record. We will conduct pre-employment driving records checks on our final candidate(s). Your license does not have to be issued in Oregon to be considered.

A proven track record of multitasking independently managing time and prioritizing tasks with attention to detail.

Proficiency with office software applications shared platforms virtual meeting apps and presentation software (e.g. Microsoft Office products Smartsheet Adobe Zoom Microsoft Teams etc.)
Strong communication skills both verbal and written.
