Job Description:
We are seeking a highly skilled and experienced Mobility and Immigration Specialist to manage and coordinate the relocation and immigration processes for employees undertaking international assignments. This role ensures full compliance with immigration laws and facilitates the visa application process while providing comprehensive support to employees and their families during the relocation process.
Key Responsibilities:
- Global Mobility Programs Management: Oversee end-to-end processes for international assignments including relocation immigration tax compliance and cultural integration.
- Visa & Immigration Documentation: Handle all categories of visa and immigration documentation for inbound and outbound moves to/from India.
- Cost Estimates & Authorization: Prepare/review cost estimates and secondment authorization forms for inbound assignments liaising with host and home country partners for CE (Cost Estimates) and SAF (Special Approval Forms) approvals.
- Collaboration & Coordination: Partner with host and home country counterparts for approvals and manage the approval process involving financial checks compliance verification and additional permissions.
- Visa/Work Permit Authorization: Liaise with immigration attorneys and teams abroad for visa and work permit authorization processes.
- Global Mobility Team Coordination: Work closely with the global mobility teams in host countries to ensure smooth handling of mobility-related activities.
- Tax and Immigration Coordination: Assist finance and tax teams with income tax return preparation for inbound and outbound assignees.
- Visa Support: Ensure team provides necessary documentation and letters for inbound assignees Indian visas.
- Reporting: Generate ad-hoc reports for global mobility activities.
- Expatriate Benefits Counselling: Provide guidance to transferring and repatriating employees on expatriate benefits.
- Tax and Immigration Planning: Collaborate with tax and immigration teams to initiate planning and reviews for assignments.
- Mobility Payroll Review: Review allowances for mobility payroll for all employee levels and liaise with Mobility Operations and Compensation & Benefits teams.
- Assignment Documentation: Review and generate necessary assignment documentation.
- Data Maintenance: Ensure the upkeep and quality of data related to mobility activities.
- Mock Interviews: Conduct mock interviews and provide constructive feedback for transferring employees.
- Immigration Compliance: Monitor compliance with immigration laws and regulations for work permits visas and permanent residency applications.
- Employee Support: Assist employees and their families with relocation-related matters including housing schooling and healthcare.
- Policy Development: Develop update and communicate global mobility policies and procedures to ensure alignment with business objectives and regulatory requirements.
- Vendor Coordination: Collaborate with external vendors including relocation service providers immigration firms and tax consultants.
- Training & Briefings: Conduct briefings for employees and managers on global mobility policies procedures and cultural considerations.
- Record Maintenance: Maintain accurate and confidential records for global mobility assignments.
Qualifications:
- Education: Master or Bachelors degree in Travel and Tourism Human Resources Business Administration International Relations or a related field.
- Experience: 8-15 years of relevant experience in global mobility or immigration services with a strong understanding of international assignment processes.
Technical Skills:
- Proficient in the end-to-end work permit process specifically for EMEA (UK & Ireland Germany).
- Familiarity with conducting mock interviews for visa purposes (E1 E2).
- Knowledge of Management Information Systems (MIS) for reporting and data tracking.
- Understanding of host and home country tax compliance including regulations that affect inbound and outbound employees.
