We are seeking a detail-oriented and proactive Administrative Assistant to support our legal team in managing day-to-day operations and ensuring the smooth execution of legal processes. This role requires strong organizational skills a high level of accuracy and the ability to handle confidential information with discretion.
RESPONSIBILITIES:
Manage and monitor the legal teams inbox ensuring timely responses and proper routing of communications.
Input and maintain accurate data in spreadsheets and legal trackers.
Rename organize and save legal documents in accordance with established naming conventions and filing protocols.
Sort and distribute incoming mail ensuring priority items are flagged and routed appropriately.
Provide administrative support for diligence projects including document collection and coordination.
Maintain and update the master disposition list of properties.
Review lien documentation and update the lien tracker accordingly.
Input new acquisitions and dispositions into the legal tracker to ensure records are current.
Upload W-9 forms into designated Teams folders for internal access and compliance.
Enter data from Origami reports into the master casualty report.
Create and manage new matter entries in Xakia for lender consent processes.
Elevate material issues as needed.
Provide administrative support to the legal team including maintaining files and records.
QUALIFICATIONS:
Bachelors degree or paralegal certificate preferred.
Prior experience in a legal administrative or paralegal support role preferred.
Proficiency in Microsoft Office Suite especially Excel Word and Outlook.
Familiarity with legal tracking systems such as Xakia Josef Salesforce and Origami is a plus.
Strong attention to detail and ability to manage multiple tasks simultaneously.
Excellent communication and organizational skills
Ability to work independently and as part of a team in a fast-paced growth-oriented company
Detail-oriented with strong analytical and problem-solving skills.
