CLS is currently searching for a service-minded mission driven individual to fulfill the following position:
Office Administrator (Ocala)
OVERVIEW
Reporting to the Manager of Administrative Services or designee the Office Administrator provides services to the public and clerical/administrative services and support to staff. This position requires the candidate to be in office 5 days a week.
RESPONSIBILITIES
- Greets clients applicants and other visitors to the office.
- Answers telephones and refers callers to appropriate staff members other CLS (Community Legal Services) offices or other agencies as appropriate.
- Distributes routine incoming and outgoing mail. Takes outgoing mail and overnight delivery packages to appropriate depositories.
- Operates and maintains upkeep of copy scanner and fax machines eFax Portal and other CLS office equipment.
- Maintains upkeep stock and order of office supplies only ordering when needed or suggested
- Maintains supply of forms and pamphlets for clients applicants and other visitors to the office.
- Potential to conduct brief initial intake interviews andcompletes intake for referral to appropriate staff.
- Provides typing and other clerical and secretarial assistance as required and when assigned.
- Maintain case files coordinate appointments close physical and electronic files and file closed files.
- Ensures office is polished and upkept especially for arrival of new hires clients and guests. Communicates with maintenance when necessary.
- May be temporarily assigned to other CLS offices plus travel may be required.
- Other duties as assigned.
BACKGROUND AND EXPERIENCE
- High School graduate or equivalent experience.
- Minimum of three years law firm experience in support of litigation and working with low-income and/or vulnerable clients and communities on civil legal matters is also a plus.
- Highly self-motivated professional capable of independently managing workload and prioritizing tasks in a fast-paced legal environment with minimal supervision.
- Excellent phone manner and professional customer service ability with superior organizational communication and writing skills required.
- Must be able to communicate effectively in person and over the telephone.
- Bilingual (English/Spanish) is preferred.
- Must be able to perform duties at various locations throughout service area.
- Proficient with Microsoft 365 and Outlook.
- Valid Florida Automobile license use of own auto and proof of insurance necessary.
PHYSICAL REQUIREMENTS
- Prolonged periods sitting at a desk and working on a computer.
- Must be able tolift up to 25 pounds at times.
SALARY: $20-22/HR 10% BONUS ofANNUALSALARY
