Position OverviewThe Workplace Coordinator manages daily workplace operations and services to ensure efficient functioning of the venue environment. This role supports workplace management initiatives coordinates with stakeholders and oversees service delivery while ensuring compliance with quality standards. Candidate with more experience will be considered as Senior Workplace CoordinatorSenior Workplace Coordinator: Takes on more complex operational challenges has greater autonomy in decision-making and may mentor junior staffWorkplace Coordinator: Focuses on standard operational support and day-to-day coordination activitiesQualificationsEducation and ExperienceDiploma or above in Facilities Management and/or Property Management or equivalentMinimum 3 years of relevant working experiencePrior experience in property management companies preferredSkills and KnowledgeGood command of spoken and written English and Chinese (Cantonese and Putonghua an advantage)Excellent customer service and communication skillsProficiency in Microsoft Office applications (Word Excel PowerPoint Outlook) and Chinese Word ProcessingKnowledge of Hong Kong Building/Property Management regulations and OrdinancesPersonal AttributesAbility to work independently under pressure with minimal supervisionDetail-oriented with strong problem-solving abilitiesProactive approach to service deliveryGood organizational and time management skillsKey ResponsibilitiesOperational ManagementAssist the Assistant Workplace Manager in addressing specific requirements or concernsManage and supervise day-to-day operations to ensure quality service deliveryEnsure compliance with Service Level Agreements (SLAs) and Key Performance Indicators (KPIs)Conduct daily patrols and routine inspections of workplace areasPrepare detailed inspection reports documenting findingsStakeholder CoordinationLiaise with Authority departments and operators on workplace management servicesFollow up on inquiries complaints and service requestsAssist with investigations fact-checking and case reviewsPrepare correspondence letters and notices relating to workplace servicesAttend regular meetings with the Authority and other stakeholders as requiredReporting and DocumentationPrepare management reports incident reports and daily/monthly operational reportsDocument service performance and operational metricsTrack and report on compliance with service standardsMaintain accurate records of workplace activities and issuesProcess ImprovementMonitor review and enhance operational workflowsConduct regular training and coaching for subordinates and frontline staffIdentify opportunities for service improvementImplement best practices in workplace operationsEmergency ResponseAttend and resolve emergency incidents and operational issuesPrepare investigation/incident reports as neededImplement preventive and corrective measuresRespond to emergency calls during regular hours and adverse weather conditionsSupport business continuity during typhoons and other disruptionsAdditional DutiesMay work evenings and on public holidays when requiredHandle other ad-hoc duties as assigned by the AuthoritySupport special projects or workplace initiatives as neededWorking ConditionsPrimarily on-site at the venue with regular facility inspectionsMay require flexible working hours including evenings and weekendsMust be available for emergency response situationsReporting StructureReports to: Assistant Workplace ManagerMay supervise: Frontline workplace staff concierge staff
