Job Description

Job ID: 40576 Location: Shanghai Shanghai China

Responsibilities:

1. Ensure Admin Service Safety and Compliance

  • Ensure site Admin service in full compliance with laws & regulations and Corparate Guidelines
  • Complete and renew risk assessments and analyses for Admin service operation
  • Manage the development and implementation of emergency response plan in Admin Service
  • Carry out the safety insepction and timely correction of safety deviation
  • Acquire and renew the permit which related to Admin service
  • Support on internal and external audit

2. Drive Site Admin Service Daily Operation

  • Manage OCC admin service with high level of user satisfaction and operational efficiency with right balance of insourced/outsourced services
  • Responsible for Admin policy and process enforcement and improvement
  • Communication and coordination with other functional departments and provide quality service to customers in time
  • Organize company internal activites such as annual party family day BU/SU onsite events team building etc.
  • Manage company registration documents renewal and hard copy distribution
  • Assist foreign associates for Visa and Work permit application.

3. Third party Service Vendor Management

  • Manage 3rd party service providers setup service agreement KPI evaluation routine inspection
  • Ensure service quality on reception mailroom cleaning service catering service indoor plants and outdoor landscaping shuttle bus etc.
  • Relationship and Contract management of all vendors and suppliers timely renew contracts
  • Lead team member and different service vendors to meet and exceed internal customer expectations.
  • Evaluates suitable suppliers and service providers in cooperation with procurement to enhance supplier reliability

Requirements:

  • Colleage degree or equivalent in a relevant administrative discipline
  • >5 years experience in an office administration role in MNC
  • Knowledge and experience for Headquarter or R&D Center Operation
  • Be proactive and with good sense of responsibilities
  • Willingness to take on multiple tasks
  • Growth mindset with good learning ability and Fluent Oral & Writen English
  • Proficiency with MS Office is required
  • Good communication and interpersonal skills
