Primary Functions: Under the direction of the Pastor/Administrator this position:
- Helps ensure that the Rectory provides a welcoming environment
- Administers office operations supporting the mission of the parish
- Facilitates communications with parishioners.
- Provides general administrative support to the Pastor and to other parish entities as needed.
- Carries out other additional functions as required.
Duties and responsibilities:
- Help ensure that the Rectory provides a welcoming environment
- Welcome greet and assist visitors to the Rectory as needed.
- Answer the telephone take messages and/or refer callers to appropriate person.
- Reserve Mass intentions as needed.
- Administer office operations supporting the mission of the Parish
- Maintain all non-sacramental or spiritual records of the parish including census records parish databases and mailing lists ensuring compliance with Archdiocesan record retention guidelines.
- Manage the parish calendar; schedule funerals baptisms and other parish events
- Process requests for sacramental records or letters of eligibility.
- Handle parish correspondence including occasional mass mailings.
- Make sure office supplies are arranged orderly and in stock.
- Facilitate Communications with Parishioners
- Prepare the weekly bulletin proofreading for layout content and clarity.
- Produce posters or flyers for parish events activities or initiatives as needed.
- Update the parish website and social media sites as needed.
- Provide general secretarial and administrative assistance to the Pastor/Administrator parish staff and administrative support to other designated councils ministries and organizations.
- Serve as personal secretary and chief administrative assistant to the Pastor/Administrator in support of his responsibilities to the parish and the Archdiocese.
- Serve as staff resource for the Pastoral Council Finance Council and other Parish Organizations as designated by the Pastor/Administrator.
- Facilitate the distribution of ministerial directories schedules and communications for Extraordinary Ministers of Holy Communion Lectors and Altar Servers.
Requirements/Skills/Knowledge and/or Abilities
- Job related skills: familiarity with Catholic culture practices and terminology; proficiency in relevant computer programs (word processing graphic design data management); proficiency in written communication skills; experience in file and database management.
- Interpersonal skills: friendly demeanor and a willingness to serve; personal motivation and integrity; ability to handle confidential material; ability to work well with parish staff and adapt to unexpected situations or circumstances.
- Education/Experience: high school diploma or equivalent required; associates degree or 3-5 years experience in related field or similar position preferred.
