Primary Purpose of Position:
The Department of Natural and Cultural Resources is seeking an enthusiastic team member to be part of our wonderful organization! The Atlantic Conservation Coalition (ACC) Administrative Specialist provides critical administrative support to the ACC Director and staff in the implementation of the ACCs Climate Pollution Reduction Grant (CRPG) award from the U.S. Environmental Protection Agency and Governor Coopers Executive Order 305 (An Order to Protect and Restore North Carolinas Critical Natural and Working Lands). This position assists in all areas of responsibility including day to-day operations workflow calendars and scheduling file maintenance and retention and other administrative functions as assigned. This position also provides support in administration of the CPRG grant and assists the ACC Grant Administrator and Officer as needed on functions including but not limited to reviewing payment requests preparing paperwork related to grant contracts and subawards tracking critical grant related dates (e.g. expiration and progress report due dates) filing grant documents and corresponding with grantees and staff on grant projects and assisting with the grant data calls and data entry. This is a full time time-limited position subject to funding availability which may last up to 60 months.

Key Responsibilities include but are not limited to:
  • Provide Receptionist support for the ACC Program Office through sophisticated calendar management prioritizing requests-conference rooms and auditorium troubleshooting conflicts and maintaining office supplies.
  • Complete administrative tasks that support to support to lead the organization effectively this includes multiphone system-answering in-coming and routing calls sorting and distributing in-coming mail setting up appointments travel arrangements and preparation of expense reports.
  • Generate for approval completed timesheets for ACC Directors direct reports.
  • Handle confidential matters with utmost discretion including correspondence telephone calls & development of interoffice documents.
  • To assist HR with the process of hiring and onboarding new employees (e.g. helping gather and complete forms for advertisements and hiring packages making sure the forms for laptops and access badge applications are completed).
  • Provide meeting support including pre-meeting agenda and file distribution note taking action item review and post meeting follow up as needed.
  • Provide support in administration of the CPRG grant and assists the ACC Grant Administrator and Officer as needed.
Position/Physical Requirements:
  • Typical work schedule isMonday Friday 8:30 am 5:00 pm (flexible schedule totaling 40 hours per week).

Management Prefers:

  • Demonstrated knowledge of program services policies procedures laws rules and regulations in performance of administrative support tasks.

Minimum Education and Experience Requirements

TheAtlantic Conservation Coalition officeoversees the implementation of the Climate Pollution Reduction Grant (CPRG) award from the U.S. Environmental Protection Agency and Governor Coopers Executive Order 305 (An Order to Protect and Restore North Carolinas Critical Natural and Working Lands). The application proposes 21 shovel-ready projects to protect and restore high-carbon coastal habitats and peatlands to maximize carbon sequestration and coastal resilience benefits and protect restore and develop agricultural and forest land promoting sustainable forestry management practices to increase carbon sequestration.
