Position Overview:
The Intermediate Bid Specialist plays a key role in managing and coordinating the bid and proposal process to secure new business opportunities. This position requires a strong understanding of bid strategy compliance and proposal development and involves collaboration across departments to produce high-quality competitive submissions.
This role operates in a high-pressure fast-paced environment and collaborates closely with sales purchasing logistics and other internal teams to deliver accurate compelling proposals under tight deadlines. The ideal candidate is a self-starter who thrives with limited oversight has strong attention to detail and can juggle multiple priorities with professionalism and urgency.
Key Responsibilities
- Manage the end-to-end bid process
- Analyze bid documents (RFPs RFQs RFIs) to determine scope requirements and win strategy.
- Coordinate with sales procurement cataloging pricing product marketing and operations to gather necessary content and pricing for proposals.
- Review and edit proposals for clarity accuracy and alignment with client needs.
- Track bid progress submission deadlines and accurate records of submissions status and outcomes in bid management systems.
- Conduct post-bid reviews and maintain records for continuous improvement.
- Respond to clarifications and modifications throughout the bidding process.
- Support strategic bid planning and contribute to win strategies.
- Assist with team administrative responsibilities as it pertains to bids contract renewals and vendor applications
Qualifications
- Bachelors degree in Business Marketing Communications or a related field.
- 5 years of experience in bid management proposal writing or a similar in the book jobber or educational publishing industry.
- Demonstrated ability to manage multiple bids with tight deadlines and high accountability.
- Excellent written and verbal communication skills.
- Strong project management and organizational abilities.
- High attention to detail with the ability to work independently and under pressure
Skills and Competencies:
- Knowledge of K12 educational procurement processes
- Experience interpreting complex RFPs and creating compliant customer-focused responses.
- Ability to build relationships and collaborate across cross-functional teams
- Flexibility to adapt to changing priorities and fast turnarounds
- Proficiency in Microsoft Office Suite (Word Excel Outlook Teams) and Adobe Acrobat; familiarity with CRM or bid management tools a plus
