The Senior Administrative Specialist provides high-level administrative and operational support to the Facilities team managing a wide range of tasks with minimal supervision. This role requires a forward-thinking organized and adaptable professional who thrives in a fast-paced environment and can oversee confidential matters with discretion and sound judgment.
Responsibilities:
Manage bustling calendars arrange travel oversee expense reports and compose and handle confidential correspondence.
Provide professional customer service support including answering inquiries coordinating resources and assisting with conference room setup and planning.
Collaborate with maintenance teams and vendors to coordinate service requests and follow-ups.
Enter update and monitor facilities work orders using the IWMS system; assist with asset management and preventive maintenance scheduling.
Review code and reconcile invoices credit card transactions petty cash and check requests.
Support report preparation project documentation and presentation materials for managers.
Organize team meetings events catering and vehicle maintenance and registration.
Maintain departmental filing systems and assist with purchasing supplies and parts.
Qualifications:
Minimum of 3 years of administrative support experience; facilities experience preferred.
High school diploma required.
Experience with work management platforms (e.g. help desk ticket systems) preferred.
Proficient in Microsoft Office Suite (Word Excel PowerPoint Outlook Teams).
Solid organizational time management and multitasking skills.
Exemplary verbal written and interpersonal communication abilities are required.
Professional telephone etiquette and ability to manage calls with discretion.
Ability to work autonomously prioritize tasks and adapt to changing demands.
Sound judgment and ability to maintain confidentiality.
Willingness to work overtime as needed.
Must be available to work onsite Monday through Friday in Deerfield Beach FL.
