You will be updated with latest job alerts via emailWe are looking for an experienced administrative specialist to join our dynamic team. This position supports the Wisconsin Alzheimers Institutes (WAI) Director and the WAI Administrator in the UW School of Medicine and Public Health (SMPH). This position will function as a key member of the WAI Administrators team and work directly on strategic priorities of the Institute. Under the direction of the WAI Administrator the incumbent is responsible for professional-level work impacting a variety of administrative areas including but not limited to operations logistics scheduling finance procurement equipment and asset tracking creating agendas scribing notes for meetings creating internal communications event planning and human resource tasks. A successful candidate will be self-motivated able to juggle several duties prioritize pay attention to detail communicate well and follow tasks through to completion.
This position may require some work to be performed in-person onsite at a designated campus work location. Some work may be performed remotely at an offsite non-campus work location.

Serves on committees and attends meetings representing the interests of the unit or program
Implements and executes established policies and procedures for a designated work unit to adhere to unit objectives and to align with established strategies
Schedules logistics and secures resources for a designated work unit to contribute to the day-to-day operational success
Leads and executes event planning logistics contract routing procurement of goods and services purchase order and requisition processing and handling all payments and reimbursements related to the events
Analyzes data and trends compiles progress reports and provides appropriate recommendations or conclusions in support of the assigned operational work unit(s)
Assists recommends and advises staff on unit or program administrative issues personnel matters and budgetary problems
Serves the WAI Onboarding Coordinator that established policies to ensure comprehensive onboarding procedures. Responsible for establishing internal operating procedures to ensure successful onboarding of new staff

The Wisconsin Alzheimers Institute (WAI) supports the UW School of Medicine and Public Healths (SMPH) mission of advancing health and health equity through remarkable service to patients and communities outstanding education and innovative research. Core values for WAI are service excellence scientific rigor collaboration fairness empathy and compassion. These values inform WAI efforts to lead innovative impactful programs with partners both in and outside SMPH and the University of Wisconsin-Madison. WAI goals are focused on helping people living with or at risk for Alzheimers disease or other dementia their caregivers and the health professionals working to support them. Through research initiatives statewide memory clinic development education and public health programs focused on both the clinician and caregiver we identify and provide strategies to reduce dementia risk and offer access to effective care. WAI scientists and program leaders coordinate research-based education and events for caregivers and community members throughout Wisconsin and across the nation.
The starting salary for the position is $60000; but is negotiable based on experience and qualifications.

At least 2 years of administrative/office experience
Calendar and file management experience
Experience coordinating meetings and travel
Strong communication (written and verbal)
Microsoft Office proficiency in Outlook Word Excel and PowerPoint and PDFs
Familiarity with Client Relationship Management software (I.e. Salesforce)
Experience with project management tools (I.e. Asana Trello)
Experience with spreadsheets and working with databases
Bachelors Degree preferred
