JOB OVERVIEW

Ontario Power Generation (OPG) is looking for a dynamic strategic and results-driven professional to join our team in the role of Executive Administrative Assistant.

Reporting to the Vice President Western Region RG Operations this position is responsible to support the Vice President with calendar management travel arrangements expense reconciliation and regular day to day assistance with administrative duties within the addition to supporting the VP the successful candidate will also be required to offer support to the VPs directors.

KEY ACCOUNTABILITIES

  • Correspondence with internal and external stakeholders regarding a variety of topics including meeting arrangements information requests and confidential matters.
  • Arrange meetings at an executive level including inviting the required parties arranging for meeting rooms preparing and uploading agendas and taking minutes when required.
  • Time management for the VP including assisting with setting priorities e-mail review project timelines target completion dates and having visibility into urgent or up and coming matters.
  • Book travel arrangements accordingly and ensure expenses are reconciled properly following all standard procedures.
  • Act as a liaison for the VP with staff including employees from other business units and employees within the same business unit.
  • Perform other administrative duties as required to support the team

QUALIFICATIONS

  • Post-secondary diploma or degree in Business Administration Communications or a related field preferred.
  • Minimum 6 years of experience providing senior executive administrative support.
  • Exceptional organizational abilities with a keen eye for detail.
  • Outstanding written and verbal communication skills.
  • Proficient in Microsoft Office Suite (Word Excel PowerPoint Outlook) and other relevant software tools.
  • Strong ability to prioritize and manage multiple tasks and deadlines in a fast-paced environment.
  • Demonstrated discretion and the ability to handle confidential information with integrity.
  • Excellent problem-solving skills and the capacity to work autonomously.
